Reports To: Production Supervisor / Operations Manager

Salary Range: $21.60–$26.90 per hour

Position Summary:

The Manufacturing Operations Coordinator provides administrative and operational support to the production and operations teams to ensure smooth day to day execution of manufacturing activities. This role plays a critical part in workforce coordination, labour tracking, timekeeping administration, skills matrix management, production reporting, and maintaining accurate operational records.

The successful candidate will support supervisors and managers with labour allocation, UKG timekeeping activities, training records, vacation planning, and daily production administration. This position requires a highly organized, detail oriented, and trustworthy individual capable of handling confidential employee and operational information with professionalism and discretion.

Key Responsibilities:

Timekeeping and UKG Administration

  • Lead daily timekeeping validation activities within UKG.
  • Review and audit employee punches, missed punches, transfers, and work center bookings.
  • Support supervisors and managers with timecard approvals and corrections.
  • Ensure payroll related data is accurate and submitted within required timelines.
  • Track attendance, overtime, and vacation schedules.
  • Ensure employees are clocking into the correct work centers and lines.
  • Escalate discrepancies related to labour tracking and attendance.
  • Maintain confidentiality of payroll, attendance, and employee related information.

Workforce Coordination and Labour Administration

  • Coordinate daily labour allocation across production lines and work centers.
  • Maintain accurate employee rosters by line, shift, and work center.
  • Support supervisors and managers in assigning employees to appropriate work centers based on skills and training.
  • Assist in balancing labour resources across departments based on operational priorities.
  • Support workforce planning activities and shift coordination.
  • Assist supervisors and managers with vacation planning and scheduling coordination.

Training Coordination and Skills Matrix Administration

  • Maintain and update employee training records and skills matrices.
  • Coordinate training documentation and certification tracking.
  • Support onboarding activities for new employees.
  • Work closely with supervisors and Learning and Development teams to ensure employees are assigned to work centers aligned with their qualifications and training status.
  • Assist leadership in identifying training gaps and workforce development needs.

Production Reporting and Operational Support

  • Support daily production reporting and labour tracking activities.
  • Prepare and print production paperwork, reports, labels, schedules, and operational documentation.
  • Ensure production boards, tier boards, and operational communication areas are updated and maintained.
  • Maintain staffing boards, attendance reports, and operational tracking sheets.
  • Assist leadership with KPI data collection and reporting preparation.
  • Coordinate and support daily administrative requirements for production operations.

Document Control and Department Records

  • Maintain and organize department records, including timekeeping records, training records, labour allocation records, and operational documentation.
  • Ensure all records are accurate, up to date, and accessible to authorized personnel.
  • Assist in preparing reports and documentation for audits and reviews.
  • Ensure release of controlled documents and retrieval of obsolete revisions in accordance with document control requirements.

Administrative Support

  • Provide general administrative support including filing, data entry, correspondence, and meeting coordination.
  • Assist in preparing presentations, reports, and operational documents as required.
  • Support coordination and organization of special projects, meetings, and operational initiatives.
  • Perform other duties as assigned by production leadership.

Qualifications:

  • High school diploma or equivalent required. Post secondary education in business administration, operations, or a related field is considered an asset.
  • Experience in manufacturing, production administration, or operations support preferred.
  • Proficiency in Microsoft Office including Excel, Word, Outlook, and PowerPoint.
  • Experience with UKG or other workforce management systems considered an asset.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Strong attention to detail and problem-solving abilities.
  • Ability to work independently and collaboratively in a fast-paced manufacturing environment.
  • High level of professionalism, integrity, and discretion when handling confidential employee and operational information.
  • Flexibility to adapt work schedules as needed to support operational and business requirements.
