About the Role

We're hiring a part-time Office & People Operations Intern to help keep our Brooklyn office running and our team well-supported. This role sits at the intersection of people ops, facilities, and administrative coordination - the kind of work that makes everything else easier.

Our current office manager is moving on to a new opportunity, and we're restructuring the responsibilities of the team and the role. You'll be stepping into real ownership: sending contracts, managing building access, making sure the office feels like a good place to work, and supporting a great team.

This role starts at 30 hours per week at $25-30 per hour with the potential to grow into a full-time position as we learn how the team's needs evolve. This will require 4+ days in our Brooklyn office, arriving by 8:30am.

What You'll Do

People Operations

  • Process contracts. Review, send for signature in docusign, and file once returned.

  • Support onboarding and offboarding workflows.

  • Coordinate with our IT vendor to provision access for new employees.

  • Support background check coordination.

Office Operations

  • Work with our vendor to order office lunches 2-3 times per week and help coordinate team happy hours and events.

  • Schedule TaskRabbit for care for office plants.

  • Manage the visitor experience. Coordinate with building security to greet and direct guests.

  • Learn our door locking system and manage building access for new and departing employees.

General Support

  • Partner with the People Ops team and others on coordination and logistics as needs arise.

What You Have

Experience

  • Some prior experience in an office, HR, people ops, or administrative context is highly valued.

  • Comfortable managing multiple ongoing tasks and keeping track of details.

  • Clear written and verbal communication. You keep people informed without being asked.

  • Comfortable learning new tools (HRIS systems, door access software, payroll platforms, etc.).

  • Regular use of LLMs and an openness to learn new AI technologies.

Mindset

  • Ownership: You follow things through to done, without needing to be reminded. The team will depend on you being proactive about identifying and completing things.

  • Reliability: You show up when you say you will. You do what you commit to. People can count on you.

  • Attention to Detail: You spot and fix inconsistencies or errors. Contracts, employee data, and access setup have real stakes. You treat them that way.

  • Low Ego: Everyone at Propel is a doer. You take care of what needs to be done, regardless of how glamorous it is.

  • Warmth: You're often the first face a visitor or new hire encounters. You set the tone

  • Curiosity: You ask great questions and are comfortable figuring things out.

Nice to Have

  • Familiarity with HRIS platforms (e.g., Rippling, BambooHR)

  • Comfort with tools like Slack, Notion, or similar

Why This Role Might Not Be For You

The scope of this role will evolve. We're actively figuring out how it fits alongside our current team, and not everything has been fully defined yet. If you need a highly structured, fully scoped role from day one, the timing isn't right.

Much of the work is recurring and operational. It's meaningful - events, contracts, and access setup matter a lot - but if you're looking primarily for project-based or strategic work, this probably isn't it.

This role requires regular in-person presence in our Brooklyn office. That's a real requirement.

This starts as a part-time role. Full-time is possible, but it's not guaranteed.
