The Role & Our Client:

Our client is a leading seller of commercial drones and UAV solutions to industry leaders across security, infrastructure, construction, mining, agriculture and more.

Since 2010, the company has been at the forefront of the drone industry, providing mission-critical UAV solutions for public safety and industrial operations. We are looking for a high-agency Executive Assistant to serve as a "Force Multiplier" across a few core departments.

You will be the operational engine driving our purchasing accuracy, sales data integrity, and production timelines. You are the bridge between our Directors and the technical execution of our business goals. If you thrive in a fast-paced environment where "urgency" is the default setting and "agency" is your superpower, this is your role.

Key Responsibilities:

  • Purchasing & Supply Chain Execution: Execute Purchase Orders (POs) with total precision. You will lead the daily follow-up on open orders, ensuring ETAs are accurate and proactively alerting the Purchasing Director to any potential supply chain bottlenecks.

  • Vendor & Pricing Management: Maintain and audit our preferred vendor database. You will ensure pricing is current across all systems (Shopify/QBO) and conduct research to vet new suppliers or alternative sourcing options.

  • Sales & Financial Administration: Act as the final checkpoint for client billing by generating and sending accurate invoices. Support the Sales team by maintaining a "gold standard" CRM—ensuring the funnel is clean, optimized, and reflects real-time data.

  • Production & Timeline Coordination: Serve as the "Keeper of the Calendar." You will synchronize production timelines and ensure all stakeholders are aligned on deadlines, keeping complex drone integration projects on track.

  • Strategic Research: Execute ad-hoc research projects ranging from vetting new software tools (Asana/PandaDoc/Pipedrive) to gathering market intelligence and competitor pricing data.

Required Skills & Qualifications

  • The "Core Four" Framework: You must demonstrate high levels of Urgency, Agency, Problem Solving, and Prioritization. You don't just report problems; you bring solutions.

  • Experience: 3+ years of relevant work experience. Direct experience in the Technology, Drone, or E-commerce sectors is highly advantageous.

  • Technical Stack Mastery: Proficiency in (or a high aptitude for) Shopify, Asana, QuickBooks Online (QBO), Pipedrive, and PandaDoc.

  • High Agency: You take extreme ownership. If a vendor is silent, you pick up the phone. You move through roadblocks rather than waiting for instructions.

  • Precision Communication: The ability to represent the company professionally when speaking with high-level vendors and enterprise/public safety clients.
