The ideal candidate will have sharp attention to detail, the ability to multi-task in a fast-paced environment, and a professional yet outgoing personality. We're looking for someone who is self-motivated, reliable, and excels as a team player in a professional law office setting. Proficiency in Microsoft Word, Outlook, and Excel is required, along with experience operating general office equipment such as copiers, printers, and scanners.
Requirements
- Receptionist responsibilities (i.e. answering and transferring calls, greeting clients and guests, sorting incoming and outgoing mail, scanning, and managing the conference room)
- Order supplies and upkeep kitchen, lounge, and conference room
- Interact with facilities representatives and building management
- Coordinate office IT/tech issues with internal Help Desk and outside vendors as needed
- Liaison with vendors such as water, shredding, copy machines, etc.
- Perform general office administration, including processing vendor invoices, managing check reimbursements, record keeping and communication
- Support Partners with special projects and internal marketing events (ordering food and coordinating holiday events)
- Coordinate with the firm's HR with regards to new employee onboarding and first day
- Open and close files
- Set calendar events through Outlook
- Coordinate CLE seminars for attorneys
