Yellowjacket Maintenance is seeking an experienced Dispatch Administrator to join its growing team. This role is responsible for globally overseeing the dispatching of maintenance staff and execution of services.
- Dispatch Management
- Lead, train, and supervise team of offshore dispatchers, ensuring all services are scheduled in a timely manner
- Train dispatch staff on best practices, ensuring schedules are optimized
- Conduct daily scrum meetings to set deliverables for the day
- Perform thorough pre-review of all scheduled services, make adjustments as needed
- Perform post-review of all completed services, ensuring that follow up visits are scheduled and updates have been relayed to clients
- Provide dispatching coverage for absences
- Monitor workload distribution and resource utilization
- Oversee execution of contractual services, ensuring they are being fulfilled on time
- Dispatch Reporting
- Pull daily reports to analyze dispatcher performance and ensure that key deliverables are being met
- Identify when deliverables are not being met (client updates and timely dispatching) and issue corrective action
- Pull daily reports of projected utilization/revenue, to ensure schedule is being set to meet daily budgeted goals
- Make adjustments to schedule as needed in order to meet budgeted goals
- Communication / Client Relations
- Serve as the primary liaison between dispatch, field operations, client base, and management
- Field client escalations regarding schedule or service issues and resolve
- Conduct regular feedback meetings with clients, to identify pain points/service issues and resolve
- Process / Work Flow Management
- Manage work flow process, ensuring that it is efficient and effective
- Regularly review work flows, and identify potential short falls or bottlenecks
- Implement work flow changes as needed
Requirements
Qualifications
- Outstanding proficiency in Google Suite
- Strong experience in dispatching or dispatching management for maintenance related services
- Excellent attention to detail and organizational skills
- Proficiency/experience with dispatch or scheduling softwares
- Knowledge of routing principles, fleet operations, or field service coordination
- Ability to analyze data and present performance insights to leadership
- Strong prioritization on meeting deadlines and key deliverables
