About the role:
The Administrative RN supports a busy outpatient Primary Care pod by serving as the clinical and administrative anchor for a high-performing care team consisting of one Chief Medical Officer (CMO), two Advanced Clinical Providers (ACPs), and two Care Coordinators (CCs). This role is primarily administrative — focused on follow-up management, lab and diagnostic result review, Preventive Health Assessment (PHA) summaries, Care Calendar maintenance, and weekly team huddles to ensure the pod is fully prepared for upcoming patient visits. The Administrative RN also steps in clinically as needed to support phlebotomy, vital signs, and IV placement, ensuring continuity of care and a seamless patient experience.
This role blends strong clinical judgment with exceptional organizational and communication skills to drive coordination, quality, and patient experience across the primary care team.
Key Responsibilities
Follow-Up & Results Management
- Manage timely follow-up of patient outreach, recommendations, and outstanding action items generated by the CMO and ACPs
- Review incoming lab results, imaging, and other diagnostic findings; triage results, flag abnormals, and ensure appropriate next steps are taken with provider oversight
- Communicate results and next steps to patients in coordination with providers, ensuring clarity, timeliness, and a high-touch experience
- Track open loops (referrals, pending results, recommended studies) and proactively close them in partnership with Care Coordinators
PHA Summaries & Visit Preparation
- Prepare comprehensive Preventive Health Assessment (PHA) summaries in advance of patient visits, synthesizing prior results, history, screenings, and outstanding items
- Ensure all pre-visit documentation, intake materials, and clinical context are complete and accessible for the CMO and ACPs
- Identify gaps in care, overdue screenings, and follow-up needs ahead of each visit so the provider team can address them in real time
Care Calendar & Longitudinal Planning
- Maintain and update patient Care Calendars, ensuring screenings, follow-ups, specialist visits, and preventive care milestones are accurately scheduled and tracked
- Partner with Care Coordinators to align Care Calendar items with patient scheduling, travel, and provider availability
- Monitor adherence to Care Calendar timelines and surface delays or risks to the provider team
Team Huddles & Weekly Prep
- Lead and participate in daily and weekly team huddles with the CMO, ACPs, and Care Coordinators to review the upcoming patient schedule
- Drive pre-visit preparation across the pod, ensuring labs, imaging, prior records, and PHA summaries are in place before each appointment
- Identify operational risks for the week ahead (coverage gaps, complex visits, outstanding results) and coordinate resolution with the team
- Serve as a connective tissue between providers and Care Coordinators to keep the pod running smoothly
Clinical Support (As Needed)
- Provide hands-on clinical support when needed, including phlebotomy, vital signs, point-of-care testing, and peripheral IV placement
- Assist providers with in-visit clinical tasks during high-volume periods or when additional clinical capacity is required
- Maintain clinical competency and adhere to all safety, infection control, and documentation standards
Communication, Documentation & Quality
- Review clinical documentation to ensure accuracy, completeness, and appropriate follow-through on provider recommendations
- Support development and maintenance of pod-level workflows and protocols related to follow-ups, results management, and visit preparation
- Participate in quality improvement initiatives focused on access, safety, patient experience, and care coordination
- Maintain accurate data and assist with reporting for quality, compliance, and operational needs
Salary range: $120,000 - $140,000
Requirements
- Excellent written and verbal communication skills
- Strong organizational skills, attention to detail, and follow-through
- Ability to multitask, prioritize, and remain composed in a busy outpatient environment
- Proficient in EMR systems (e.g., Epic, Athena) and patient tracking tools
- Clinical competency in phlebotomy, vital signs, and peripheral IV placement
- Compassionate, patient-centered approach with a focus on collaboration and quality
Licenses and Certifications
- Current and unrestricted Registered Nurse (RN) license in New York State
- Basic Life Support (BLS) certification required
- IV certification required (or willingness to obtain)
