ABOUT THE COMPANY

Our client is a commercial builder operating across Sydney and Newcastle, NSW, delivering projects across education, childcare, fit-out, and commercial construction. Beyond building, they invest heavily in winning work - producing detailed expressions of interest, tender submissions, and marketing collateral that reflect the quality of what they build. The team is growing its offshore capability and already has a Filipino team member working closely with the Sydney office.

 

ABOUT THE ROLE

This role exists to take the document production and marketing coordination workload off the client's local team. You'll work directly with their Sydney-based marketing person and the Estimating Manager, owning the assembly of EOI and tender submission documents, managing social media content, and keeping the company's digital presence up to date. Over time, you'll grow into driving submission timelines end-to-end rather than just executing tasks.

### KEY RESPONSIBILITIES
  • Build EOI and tender submission documents in Adobe InDesign using existing templates, selecting and inserting the most relevant case studies, team profiles, project photos, and supporting content for each bid
  • Manage the EOI and tender log, keeping submission deadlines, status, and required inputs up to date
  • Coordinate internally to gather outstanding content ahead of submission deadlines - following up proactively, not waiting to be chased
  • Draft social media posts for LinkedIn, Facebook, Instagram, and website using provided photos and content, with AI tools available to assist with copy
  • Upload and manage content on the WordPress website, including project updates and news articles with correctly formatted images
  • Facilitate distribution of project photo packs to contractors and suppliers on completion of jobs
  • Assist with basic video editing of drone and site footage for marketing use
  • Support content finalisation for a new project launch as a side initiative
  • Assist the Sydney marketing person by taking production tasks off his plate so he can focus on site photography and video
  • ### ESSENTIAL SKILLS AND EXPERIENCE
  • Proficient in Adobe InDesign - this is the core tool for the role, non-negotiable
  • Experienced in producing professional proposals, pitch documents, or marketing collateral
  • Strong organisational skills with the ability to manage multiple deadlines simultaneously
  • Clear written English, comfortable drafting short-form copy and professional blurbs
  • Experience managing or posting to social media platforms (LinkedIn, Facebook, Instagram) in a business context
  • Comfortable working independently and proactively following up on outstanding items without being directed

    ### NICE-TO-HAVE SKILLS
  • Experience in a construction, engineering, or professional services environment
  • WordPress content management experience
  • Basic video editing skills (any platform)
  • Familiarity with Google Workspace (Sheets, Drive, Docs)
  • Experience using AI tools (Gemini, ChatGPT, or similar) to assist with content drafting
  • ### EXPERIENCE REQUIRED

    Minimum 3 years in a marketing coordinator, proposal coordinator, or similar document production role. Experience working for a construction, engineering, or infrastructure company is a strong advantage but not a hard requirement. The role does not require copywriting expertise - strong coordination skills and InDesign competency matter more.

    Full-time, remote. Must be available during AEST business hours to collaborate with the Sydney team. Submission deadlines are real and non-negotiable - some bids come down to the wire and the document needs to be ready before the price lands. You need to be someone who manages ahead of deadlines, not someone who needs to be managed.
