Role Summary

The Operations & Maintenance Coordinator is responsible for planning, scheduling, and coordinating all maintenance activities to ensure the reliable, safe, and efficient operation of facility equipment, systems, and infrastructure. This role bridges the gap between field technicians, operations teams, external vendors, and management by ensuring maintenance workflows are documented, tracked, and executed on time.

Key Responsibilities

Maintenance Planning & Scheduling

  • Develop, coordinate, and maintain maintenance schedules for all facility assets (mechanical, electrical, plumbing, HVAC, building systems).
  • Work with operations and production teams to schedule maintenance during planned downtime or non-critical periods to minimize operational disruption.
  • Prioritize work orders based on safety, criticality, and operational impact.

Documentation Management

  • Create, assign, track, and close work orders, ensuring complete documentation of labor, parts, materials, findings, and follow-up actions.
  • Maintain accurate asset registers, including equipment hierarchies, serial numbers, warranty data, and maintenance history.

Operational Readiness

  • Maintain Method of Procedures (MOPs), Standard Operating Procedures (SOPs), and Emergency Operating Procedures (EOPs) as needed.
  • Support internal and external audits by providing complete and auditable maintenance records.

Vendor & Contractor Coordination

  • Coordinate third-party service providers for specialized maintenance, inspections, or repairs.
  • Review contractor method statements, risk assessments, and insurance compliance before work begins.
  • Track vendor performance and close out service reports upon completion.

Skills & Experience

Required Skills

  • High school diploma, Associate or bachelor’s degree in Facilities Management, Mechanical/Electrical Engineering, Business Administration, or related field preferred.
  • 3–5 years of experience in maintenance coordination, facilities coordination, or operations administration.
  • Working knowledge of mechanical, electrical, and plumbing (MEP) systems terminology.
  • Experience in a mission-critical, industrial, manufacturing, or large-scale facility environment are strongly preferred.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to prioritize competing demands in a fast-paced environment.

Location & Reporting

  • Based in Launceston, Tasmania
  • Reports directly to Senior Manager, Operations
