About the Role
You'll be the operational anchor for our Tbilisi hub. We're scaling Tbilisi from a 5 FTE pilot in Q3 2026 to 15 FTE by 2027 across our engineering and AI teams, and the operational fabric that holds the hub together (office, EOR contracts, onboarding, travel, supplier coordination) needs an owner on the ground.
You'll handle local office coordination, Remote.com EOR touchpoints for every Tbilisi hire, travel and onboarding logistics across DE, Lisbon, and Tbilisi, and direct support for the management team (CEO, COO, Director D&T) on cross-site operations.
This is not a single-principal Executive Assistant role. It's a hub operations role where the buck stops locally. You'll be the first contact point for every Tbilisi new hire on operational matters, paired with their Practice buddy in DE or Lisbon for cultural integration.
What You'll Do
You'll set up the Tbilisi office and tooling foundation within 60 days of the office decision: lease, internet, hardware, badge and key handout protocol mirroring Böblingen
You'll deliver onboarding logistics with zero gaps for every Tbilisi new hire: Remote.com EOR contract signed pre-start, hardware shipped on time, accounts provisioned day 1, a 3 to 5 day Lisbon or DE on-site visit booked within the first 90 days, and a buddy paired
You'll send a weekly cross-site operational digest to Leadership every Monday (open ops items, onboarding pipeline, EOR exceptions, travel coming up)
You'll handle 90% of Remote.com EOR coordination (contract amendments, leave tracking, expense routing, payroll questions) without escalation to the COO
You'll own travel and event coordination end-to-end for the management team and Tbilisi team across all three sites (4+ trips per quarter), including booking, expense, and briefing pack
You'll prepare a quarterly Tbilisi hub review pack for the management team with operational metrics (headcount, retention, time-to-productivity, onboarding NPS)
You'll establish local supplier and vendor relationships (office services, Remote.com touchpoints, hardware suppliers, business travel agency)
You'll act as the operational counterpart to the Lisbon site coordination and the Böblingen Executive Assistant, with documented handoff protocols across the three sites
What You Bring
Must-haves
3 to 5 years of operational coordination experience for a 10 to 30 person team or office. You can describe a small office or hub you set up and ran, including supplier management, hardware procurement, and hybrid working logistics
EOR and HR operations literacy: comfort with Remote.com, Deel, or a comparable EOR. You've processed contract amendments, leave entries, and expense reconciliation
Demonstrated multi-step onboarding orchestration for new hires (contract, hardware, accounts, travel, buddy pairing). Your personal checklist system never loses a step
Cross-site, async-first collaboration across at least 2 timezones, with PR-quality writing in Slack, email, and Confluence
Discretion: track record of handling C-level, salary, and personnel-sensitive information without leakage
Proactive anticipation: you spot the visa renewal, the missed onboarding step, the supplier deadline before anyone asks
Microsoft 365 fluency (Outlook, Teams, OneDrive, Excel), Confluence, Jira basics, banking portals
Business-fluent English (daily working language across the management team and all sites)
Tbilisi-based or willing to relocate, with consistent presence at the Tbilisi office once leased (2 to 3 days)
Calm under pressure: you stay composed when 3 things break in the same hour and triage, communicate, fix in that order

Native Georgian (for local supplier and authority interactions)
Experience as the on-the-ground operational anchor in a hub or site that was being built from scratch
Background in tech, consulting, or AI organisations
Direct experience with the Microsoft 365 + Confluence + Jira + Forecast tool stack
Your Team
You'll report directly to the COO as the coordinating anchor for Tbilisi operations, with a dotted line to the People & Culture Lead for P&C topics. You'll join the People & Culture Team as the Tbilisi seat and work day-to-day with the Lisbon site coordination, the Böblingen Executive Assistant, and every Tbilisi hire on their first 90 days.
