About the Role
We are looking for a proactive and detail-oriented Workplace Experience Coordinator to support our Zurich office on a part-time basis (approximately 5 hours per week).

This role blends workplace experience, office operations, and HR coordination, ensuring a seamless and high-quality experience for employees, visitors, and partners.

You will be the face of the office and a key member of the People team—creating a welcoming, well-organized environment while supporting core HR processes across the employee lifecycle.

How you’ll make an impact:

Workplace Experience & Office Operations

  • Serve as the primary point of contact for onsite visitors, providing a professional and welcoming experience

  • Coordinate and support onsite meetings, customer briefings, and events (room setup, scheduling, logistics, catering, materials, etc.)

  • Ensure office readiness, including meeting spaces, supplies, and overall workplace environment

  • Manage office mail, vendors, services, and facilities-related coordination

  • Support internal events, team gatherings, and employee engagement initiatives

  • Anticipate needs and proactively resolve workplace or logistical issues

People Operations & HR Coordination

  • Support employee lifecycle processes, including onboarding, offboarding, and employee changes

  • Maintain accurate employee records and HR systems (HRIS)

  • Act as a point of contact for employee inquiries related to policies, benefits, and general HR processes

  • Coordinate with payroll, benefits providers, and external partners as needed

  • Support compliance with Swiss employment regulations and internal policies

  • Assist with reporting, audits, and administrative HR tasks

Qualifications

  • 1+ years of experience in workplace experience, office coordination, HR coordination, or similar roles

  • Strong organizational skills and high attention to detail

  • Excellent interpersonal and communication skills; comfortable interacting with employees, leadership, and external visitors

  • Ability to adapt in a fast-paced environment

  • Proactive, solutions-oriented mindset with a strong sense of ownership

  • Experience with GSuite (or similar tools)

  • Fluency in English required

Work Environment

  • This role is based onsite in Zurich and is integral to maintaining a strong in-office culture and experience
