Role and Team
- Reporting to the Office Manager, Commercial Accounts Manager, or other designated manager, the Title Administrator reviews and processes automotive titles through the auction process in a customer-facing environment.
Responsibilities
- Act as the first point of contact to onsite visitors who enter the front office, including internal and external customers and vendors, and third-party visitors. Direct or guide visitors as appropriate.
- Assist customers at the front counter, primarily to support title needs, but may provide general customer service as needed.
- Accept, review, and analyze titles for accuracy and completeness. Identify corrections or additional documentation required for title processes.
- Apply strong knowledge of local state Department of Motor Vehicle rules, regulations, and fee structures for automotive buyers and sellers, including lien sale and out-of-state or country requirements. Communicate requirements with managers, customers, and team members.
- Calculate estimated fees associated with title processes
- Complete titles for transfer between buyers and sellers according to jurisdictional requirements
- Submit requests for duplicate titles or other documentation
- Verify buyer, seller, and vehicle information in internal databases and title paperwork; review odometer readings, release of liens, customer and payment status
- Identify and prepare titles to send to customers
- Accurately enter and update information in the internal databases.
- Process payments (no cash handling). Verify flooring plan payments.
- Maintain a filing system for titles and other documents.
- Run and review reports, customer worksheets, vehicle inventory, and title lists to identify
- Answer phones in a professional manner; discern the caller’s needs, respond, or transfer to the appropriate department. Make outbound telephone calls to customers regarding payment status and collections.
- Any other duties assigned by the designated manager

Qualifications
- High School diploma or GED preferred
- Notary certification preferred
- May require active certification from state Department of Motor Vehicles for Title and Registration processing, depending on location.
- 1 year of previous automotive title experience, typically obtained from an auction, dealership, or state motor vehicle department.
- Must be 18 years of age and have a valid driver’s license that meets the requirements
- Able to safely drive a variety of make/model/sizes of vehicles
- Proficiency with computer systems and applications

This position is subject to both inside and outside environmental working conditions, including temperature changes, outside weather conditions, slightly elevated ambient noise levels, and minor atmospheric conditions affecting skin or respiratory systems, such as fumes, odors, and dusts associated with internal and external service station/convenience food and petroleum dispensing operations.
