What you’ll do
The Specialist, Workplace Services, plays a central role in supporting operational effectiveness and employee experience within Scout’s workplace environment through administration of key corporate programs and services. Reporting to the Manager, Workplace Services, this position is responsible for supporting a portfolio of internal programs including corporate travel, vehicle services, office operations, vendor relationships, and employee-facing services that contribute to a positive workplace experience. Acting as a liaison between employees, internal stakeholders, and external partners, the Specialist ensures seamless delivery of workplace services across the organization.
In addition to these enterprise-wide responsibilities, the Specialist will play a critical role in supporting the planning, activation, and transition to the company’s new headquarters location, coordinating closely with cross-functional teams to ensure operational readiness and a seamless employee experience.

Support for New Headquarters Establishment
- Act as a core team member supporting the stand-up and operational readiness of the company’s new headquarters location.
- Coordinate logistics for workspace setup, including furniture installation, supply provisioning, and service readiness (e.g., reception, mailroom, food services, office supplies).
- Collaborate with IT, HR, Security, and other stakeholders to ensure essential services and systems are in place for Day 1 readiness.
- Support space allocation planning in alignment with workplace standards.
- Manage third-party vendors involved in the setup & move-in process.
- Serve as an on-site point of contact during the transition period to help troubleshoot issues and support business continuity.
Corporate Program Management
- Support the corporate travel program, including vendor oversight, employee support, policy enforcement, and reporting.
- Support the company vehicle program, including program design, fleet management, policy compliance, and vendor engagement.
- Serve as a key resource and subject matter expert for assigned corporate services across the organization, providing timely, effective service and communication to employees.
- Provide backup support for additional workplace programs, such as workwear and food services.
Office Operations
- Support day-to-day corporate office operations to ensure a well-functioning, professional, and welcoming environment.
- Manage services and contract staff involved in building reception, mail/shipping, catering, supplies, document storage, and general workplace logistics.
- Serve as a point of contact for on-site service providers and ensure service levels meet expectations.
- Assist with the planning and execution of office moves, expansions, or redesigns in coordination with internal teams and external partners.
Vendor & Contract Management
- Development of new vendor relationships for assigned programs, including scope design, service delivery, and performance management.
- Manage third-party service providers related to corporate programs and office operations, ensuring alignment with service level expectations.
- Monitor performance, address service issues, and assist in contract renewals and negotiations in partnership with Purchasing or Legal as needed.
Workplace Experience & Engagement
- Help ensure consistency in service delivery and employee support across all office locations.
- Identify and implement opportunities to optimize space utilization, sustainability, employee experience, and operational efficiency.
- Respond to employee inquiries and resolve workplace-related issues in a timely and professional manner.
Reporting & Compliance
- Maintain program documentation, service metrics, and compliance records (e.g., travel usage, fleet activity, service satisfaction).
- Assist in preparing reporting for leadership and compliance reviews related to assigned program areas.
- Track program performance metrics and prepare regular reports on travel spend, vehicle usage, vendor performance, and service levels.
- Ensure programs comply with internal policies and applicable regulations, including driver safety, insurance requirements, and expense reporting.
- Monitor and maintain budgets, invoices, and reporting as needed.
Location & Travel Expectations:
- This role may be based out of the Scout Motors corporate headquarters in Charlotte, NC.
- This role requires 4-5 days per week in the office, with regular in-person meetings and events.
- Applicants should expect that the role will require the ability to convene with Scout colleagues in person and travel to participate in events on behalf of the company from time to time.
- Travel: Occasional domestic and international travel required. Valid driver's license &.Passport required.

- Bachelor’s degree in Business Administration, Facilities Management, Hospitality, or a related field (or equivalent experience).
- 4-7 years of relevant experience in workplace services, office management, or corporate operations, preferably in a mid-to-large-sized organization.
- Ability to manage multiple priorities in a fast-paced, dynamic environment.
- Comfortable collaborating across departments and managing external vendor relationships.
- A proactive, solution-oriented mindset with strong attention to detail.
- Excellent interpersonal and communication skills; service-minded with a proactive and collaborative approach.
- Experience managing vendors and service contracts; skilled in problem resolution and stakeholder management.
- Proficiency in Microsoft Office and workplace management tools (space planning, ticketing systems, travel/fleet platforms).
- Experience with enterprise workplace transitions or new office openings.

Pay Transparency
This is a full-time, exempt position eligible to receive a base salary and to participate in an annual performance bonus program. Final salary offered will be determined based on factors including but not limited to the candidate's skills and experience. The annual performance bonus program is preset and not candidate dependent.
Initial base salary range = $85,000.00 - $105,000.00
