Position Summary: The IT Asset Management Specialist is responsible for the lifecycle management of IT assets, including procurement, tracking, and reporting of hardware and software assets across the organization. This role ensures accurate inventory management, compliance with licensing agreements, and effective reporting and reconciliation processes to support operational efficiency and cost control. The ideal candidate is detail-oriented, organized, and skilled in managing data and vendors in a fast-paced IT environment.

Key Responsibilities:

IT Equipment Ordering & Procurement

  • Coordinate the procurement of IT hardware, including laptops, desktops, peripherals, and mobile devices
  • Work with vendors and internal stakeholders to ensure timely and cost-effective purchasing
  • Track purchase orders, shipments, and delivery status to ensure accurate fulfillment

Asset Tracking & Inventory Management

  • Maintain accurate records of all IT assets throughout their lifecycle (purchase, deployment, transfer, retirement)
  • Manage asset inventory systems and ensure data integrity across platforms
  • Conduct regular audits and physical inventory checks

Software License Management

  • Track and manage software licenses to ensure compliance with vendor agreements
  • Monitor license utilization and recommend adjustments to optimize usage and reduce costs
  • Assist with software renewals and vendor negotiations

Reporting & Reconciliation

  • Prepare regular reports on asset inventory, utilization, and lifecycle status
  • Reconcile asset data across procurement, inventory, and financial systems
  • Identify discrepancies and work cross-functionally to resolve issues

Process Improvement & Compliance

  • Develop and document asset management processes and best practices
  • Ensure adherence to company policies and audit requirements
  • Support internal and external audits related to IT assets

Qualifications

  • Bachelor’s degree in Information Technology, Business Administration, or a related field (or equivalent experience)
  • 2–5+ years of experience in IT asset management, procurement, or inventory control
  • Strong understanding of asset lifecycle management and software licensing concepts
  • Experience with asset management tools and systems (e.g., ServiceNow, SCCM, or similar platforms)
  • Proficiency in Microsoft Excel and reporting tools (pivot tables, data analysis, etc.)
  • Excellent organizational skills and strong attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Strong communication and cross-functional collaboration skills
  • Experience supporting audits and compliance activities is a plus

Physical Requirements:

  • Office environment with normal business hours necessary to satisfactorily perform job functions.
  • Stationary Position – Must be able to remain in a stationary position up to 50% of the time.
  • Move or Traverse – This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc. May occasionally ascends/descends the stairs to get to other floors, cafeteria and parking area.
  • Dexterity – constantly operates a computer and other office machinery such as a copy machine/printer.
  • Move, Transport, Position, Put, Install, Remove - Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs.
  • Communicate, Detect, Converse with, Discern, Convey, Express oneself, Exchange information - The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
  • Detect, Determine, Perceive, Identify, Recognize, Judge, Observe, Inspect, Estimate, Assess - The ability to observe details at close range (within a few feet of the observer).
