Weโ€™re hiring a highly organized and execution-focused Sales Assistant to support a fast-moving sales team by managing:

CRM Management & Sales Operations

  • Maintain accurate CRM records within:
    • Salesforce
    • HubSpot
    • Zoho CRM
    • Pipedrive
  • Update:
    • leads
    • contacts
    • opportunities
    • pipeline stages
    • activity notes
  • Remove duplicate records and maintain CRM hygiene
  • Ensure reporting accuracy and pipeline visibility
  • Support clean and organized sales workflows

Scheduling & Sales Coordination

  • Schedule:
    • sales calls
    • demos
    • follow-ups
    • client meetings
  • Coordinate calendars across multiple time zones using:
    • Google Calendar
    • Outlook
    • Calendly
  • Ensure meeting logistics are handled accurately
  • Prepare sales reps with:
    • schedules
    • reminders
    • supporting materials
  • Organize internal coordination and follow-up activities

Proposal & Document Support

  • Prepare, format, and proofread:
    • proposals
    • quotes
    • presentations
    • sales documents
  • Support RFP and RFI responses using templates and existing resources
  • Create polished sales assets using:
    • Google Slides
    • PowerPoint
    • Canva
  • Maintain organized documentation and version control

Reporting & Pipeline Tracking

  • Generate:
    • weekly reports
    • monthly dashboards
    • sales tracking updates
  • Track:
    • pipeline activity
    • conversion metrics
    • sales KPIs
  • Ensure leadership has visibility into sales performance and activity

Communication & Follow-Ups

  • Draft professional:
    • follow-up emails
    • meeting summaries
    • reminder communication
    • next-step updates
  • Support inbound lead routing and coordination
  • Maintain responsive communication with:
    • prospects
    • clients
    • internal teams

Cross-Team Coordination

  • Collaborate with:
    • marketing
    • finance
    • operations
    • sales leadership
  • Track internal handoffs and task ownership
  • Help prevent delays and communication gaps
  • Ensure deals and operational workflows continue moving smoothly

Core Requirements

  • 1โ€“2 years of experience in:
    • sales support
    • administrative coordination
    • operations support
    • sales operations
  • Hands-on experience with at least one CRM platform:
    • Salesforce
    • HubSpot
    • Zoho CRM
    • Pipedrive
  • Strong scheduling and calendar management skills
  • Proficiency with:
    • Google Workspace
    • Microsoft Office
  • Strong written English communication skills
  • Highly organized with strong attention to detail
