Virtual Assistant (Remote | Admin, CRM, Operations Support) – U.S. Hours

Position Type: Full-Time, Remote
Working Hours: U.S. Client Business Hours (flexible based on client needs)

About the Role

We’re hiring a Virtual Assistant (VA) to provide reliable, high-quality administrative and operational support.

This is not just basic admin work — you will:

  • Manage calendars and communication
  • Maintain CRM and data accuracy
  • Support projects and operations
  • Ensure nothing falls through the cracks

You are the execution layer that keeps the business organized and moving forward.

What You’ll Own

Administrative Support (Daily Execution)

  • Manage calendars, meetings, and scheduling
  • Draft and send professional emails and documents
  • Prepare meeting notes and track follow-ups
  • Ensure priorities are organized and executed

Data & CRM Management

  • Maintain records in:
    • Spreadsheets
    • CRMs (e.g., HubSpot, Salesforce, Zoho)
  • Ensure data is:
    • Accurate
    • Updated
    • Organized
  • Manage digital filing systems (Google Drive, Dropbox, SharePoint)

Research & Task Execution

  • Conduct research on:
    • Competitors
    • Vendors
    • Market insights
  • Compile findings into clear summaries or presentations
  • Support ad hoc tasks and small projects

Customer & Vendor Support

  • Respond to basic client inquiries or route them correctly
  • Communicate with vendors and follow up on tasks
  • Ensure nothing is delayed due to lack of follow-up

Operations & Project Support

  • Assist with:
    • Invoicing
    • Expense tracking
    • Light bookkeeping (if required)
  • Maintain project trackers using:
    • Asana
    • Trello
    • Notion
    • Monday.com
  • Keep tasks and workflows organized

Required Experience & Skills

  • 1–2 years experience as:
    • Virtual Assistant
    • Administrative Assistant
    • Operations support
  • Proficiency in:
    • Google Workspace
    • Microsoft Office
  • Strong time management and organizational skills
  • Ability to work independently in a remote environment
  • Reliable internet and professional setup

Nice to Have

  • Experience with CRMs:
    • HubSpot, Salesforce, Zoho
  • Familiarity with:
    • QuickBooks
    • Xero
  • Experience supporting:
    • Founders
    • Startups
    • Remote teams
  • Experience handling multiple clients or executives

What a Typical Day Looks Like

  • Review calendar and inbox, respond to urgent items
  • Schedule meetings and manage communications
  • Update CRM records and spreadsheets
  • Prepare documents and reports
  • Conduct research for ongoing tasks
  • Follow up with vendors or clients
  • Wrap up with status updates and next-day planning
