About the Role

We’re looking for a motivated paralegal to join our close-knit Global Legal group and support our Privacy and Product Legal team across Australia, the US, the UK, the Philippines and China. In this role, you’ll help maintain and improve the team’s internal processes, systems and tools, manage record-keeping requirements to support privacy compliance, and play a key part in enabling the team to partner effectively with the business.

You’ll thrive in a fast-moving, fluid environment and be passionate about supporting product innovation in a commercial setting at one of the world’s fastest-growing technology companies. This work is challenging and meaningful - our team has previously been recognised with awards at the Australian Corporate Counsel Awards, and your contribution will help Canvanauts be “risk aware” as they roll out new products, tools and features, ensuring Canva continues to grow as one of the world’s most trusted platforms.
 

What you’ll do:

Privacy Assessment & Compliance Support: Assist the team with completing Privacy Impact Assessments (PIAs) and Transfer Impact Assessments (TIAs), including gathering required information, managing workflows and maintaining documentation. You’ll support compliance operations such as maintaining the Record of Processing Activity, preparing DSAR responses, coordinating Local Representative/DPO appointments and assisting with incident notifications.

Matter, Contract & Workflow Operations: Support the legal team by managing matter workflows, updating agreement and policy templates, helping triage incoming requests, and monitoring service channels (Slack, Jira, inboxes) to ensure issues are routed efficiently. You’ll help improve operational processes to keep legal advice timely and consistent.

Project & Program Management: Help drive privacy and product legal projects and initiatives by coordinating stakeholders, tracking deliverables and maintaining project documentation. You’ll help to ensure work stays aligned to our highest priorities.

Policy, Terms & Governance Support: Coordinate updates to terms and conditions, policies, internal standards and related documentation. You’ll support the review process, manage version control, maintain governance calendars and assist in ensuring timely updates ahead of launches and regulatory deadlines.

Audit, Incident & Compliance Operations: Assist with evidence collection for ISO and SOC audits, manage privacy-related operational tasks (such as OpsGenie pager workflows), support incident documentation, and ensure required filings, billing details and compliance paperwork are properly maintained.

Risk Register Management: Manage the risk register by uploading risks into Jira, coordinating with accountable stakeholders to track progress, and working with the Head of Privacy & Product Legal to prepare updates for reporting to the Information Security Committee (ISC). You’ll help ensure risk status, owners and mitigations remain accurate and visible.

Research & Legal Support: Conduct legal research, pull together background materials for advice and decision-making, and support discrete privacy, litigation or product-related matters (e.g., Mayday, pixel investigations). You’ll work closely with lawyers to prepare preliminary analyses and support the team’s legal output.

Legal File, Document & Knowledge Management: Maintain the systems that keep our legal specialty running smoothly — including document filing (e.g. litigation documentation), template creation, naming conventions, knowledge bases, Confluence resources. You’ll ensure records, registers, policies and version histories are accurate, accessible and up to date.

Design, Create & Communicate: Help translate complex privacy and product concepts into clear, engaging and accessible materials. You’ll prepare presentations, training decks, FAQs, blogs, internal comms, Confluence content, and playbooks — ensuring the team’s guidance is easy for the business to understand and apply.

Event, Training & Program Support: Coordinate and support legal training sessions, onboarding programs, e-learning rollouts, Privacy Awareness Week activities and internal education events. You’ll manage logistics, prepare materials, track attendance and help ensure the organisation stays informed on key privacy and product requirements.

What we're looking for

  • You have 3+ years of relevant work experience, preferably as a paralegal at a reputable private practice firm or supporting an in-house legal team.
  • You are tech savvy and willing and able to learn new tech tools.
  • You are a hustling and resourceful problem solver with exceptional time management skills.
  • You are responsive to requests and thrive in a fast paced and challenging environment.
  • You have a keen eye for detail, accuracy and quality.
  • You understand legal terminology and concepts (or are willing and able to quickly learn them).
  • You get a kick out continuously improving processes and making complex things simple
  • You don’t mind (and quite enjoy) record keeping.
  • You are calm in a crisis and happy to roll up your sleeves and jump in to help.
  • You’re willing to provide support to a global team across different time zones (where reasonable).
  • You have a creative flair for visual communication (or are willing to develop one). 
  • You are excited to proactively think of ways to help the team.
  • You’re not afraid to share your ideas and a laugh.

The target salary range for this position is $107,000-$160,000. When calculating offers, we make salary decisions based on market data and candidates' skills and experience.
