The Opportunity
Join Australasia’s largest and fastest‑growing bus operator and play a vital role supporting our WA Service Delivery and Operations teams. As a Business Administrator, you’ll be the central force that keeps the depot organised, compliant and running efficiently, all while supporting our people and maintaining a smooth day‑to‑day environment.
Acting as the organisational heartbeat of the depot, you’ll coordinate day‑to‑day administration, maintain accurate driver and fleet records, assist with onboarding and support core operational processes. This is an ideal role for someone who enjoys variety, brings strong attention to detail and thrives in a fast‑paced environment where they can truly make a difference.
What You’ll Be Doing
- Provide day‑to‑day administrative support, including data entry, preparing documents, updating records and helping keep systems organised.
- Coordinate meetings, toolbox sessions and team activities, including preparing agendas, taking minutes and sharing follow‑up information.
- Process and reconcile monthly credit card statements accurately.
- Manage shared inboxes, respond to queries and ensure administrative forms are completed and filed correctly.
- Support onboarding of new starters by arranging equipment, uniforms, system access and paperwork in partnership with the Trainer and key team members.
- Ensure stock of office supplies, kitchen items, catering and uniforms to keep the depot running smoothly and well‑presented.
- Maintain accurate and compliant driver and vehicle records, and ensure depot noticeboards are always up to date and easy to understand.
- Arrange building and facility maintenance, liaising with suppliers or contractors when repairs or services are required.
- Assist the Fleet and Safety teams with basic checks, updating documents, refreshing noticeboards and supporting routine inspections.
- Help onboard contractors and visitors by ensuring they complete the required induction steps.
About You
You’re approachable, organised and bring a positive energy that supports both the team and the depot environment. You enjoy being the person people rely on and feel confident engaging with colleagues, suppliers and members of the community.
You’ll thrive in this role if you:
- Are an experienced in administration with strong skills in office coordination or business support
- Have a friendly, confident approach with the ability to build rapport quickly
- Bring strong organisation and time‑management skills to a busy, varied workload
- Enjoy maintaining structure and order while navigating changing priorities
- Take pride in delivering great service and supporting a positive team culture
- Show initiative, enthusiasm and are adaptable in a fast‑paced environment
- Have strong computer literacy (Outlook, Word, Excel, PowerPoint) and an eye for detail
A Certificate III in Business Administration or equivalent experience is desirable, along with any exposure to the transport industry.
