Job Title: Maintenance Coordinator
Department: Facilities / Engineering Services
Reports To: Facilities Manager
Location: Seymour Health
Position Summary
The Maintenance Coordinator is responsible for planning, coordinating, and monitoring maintenance activities across the hospital to ensure the safe, reliable, and compliant operation of buildings, plant, and equipment. A hands-on role that also acts as the central point of communication between maintenance staff, contractors, clinical departments, and hospital management to minimise disruptions to patient care and hospital operations.
Key Responsibilities
· Maintenance Coordination & Planning
· Coordinate daily maintenance activities including preventative, reactive, and corrective maintenance.
· Prioritise maintenance requests based on clinical risk, safety, and operational impact.
· Schedule internal trades staff and external contractors efficiently.
· Monitor work progress and ensure completion within agreed timeframes.
· Work Order & Asset Management
· Administer and maintain the Computerised Maintenance Management System (CMMS).
· Raise, track, and close work orders accurately.
· Maintain asset registers and equipment histories.
· Analyse maintenance data to identify trends and recurring issues.
· Compliance & Safety
· Support compliance with healthcare regulations, building codes, and safety standards.
· Ensure maintenance activities align with infection control requirements.
· Assist with accreditation and audit processes.
· Maintain documentation for statutory inspections, testing, and certifications.
· Contractor & Vendor Coordination
· Coordinate and supervise external service providers.
· Ensure contractors comply with hospital policies, safety procedures, and permits.
· Track contractor performance and service delivery.
· Communication & Stakeholder Support
· Liaise with clinical and non-clinical departments regarding maintenance works.
· Provide updates on scheduled disruptions or outages.
· Respond promptly to urgent facility-related issues.
Administrative & Reporting Duties
· Prepare maintenance schedules and reports.
· Track budgets, purchase orders, and invoices as required.
· Maintain maintenance records and compliance documentation.
Required Skills & Competencies
· Strong organisational and scheduling abilities.
· Knowledge of building systems (HVAC, electrical, plumbing, medical gases preferred).
· Understanding of hospital safety and compliance environments.
· Ability to prioritise tasks in a high-pressure setting.
· Effective communication and stakeholder management skills.
· Proficiency with CMMS or facilities management software.
· Attention to detail and record-keeping accuracy.
· Qualifications & Experience
· Certificate, Diploma, or Trade Qualification in Facilities Management, Engineering, Building Services, or related field (preferred).
· Experience in maintenance coordination, facilities, or hospital engineering environments.
· Familiarity with healthcare compliance standards (desirable).
· Experience working with contractors and technical teams.
