About your team
 

The Investment Coordinator team provides advanced organisational and administrative support to our Portfolio Managers, Research Analysts and Support teams. The team plays a critical part in the success of the investment process at Fidelity.

About your role

As Investment Coordinator, the duties performed by you include extensive diary management, extensive meeting organization, complex travel arrangements and general administrative duties.

About You

The role is ideal for individuals who thrive in dynamic environments and are eager to step outside their comfort zone to deliver exceptional support and coordination to a group of busy and driven investment professionals.

Key responsibilities

  • Diary & Meeting Management: Proactively manage complex Microsoft Outlook diaries, ensuring precision and thoroughness. Schedule meetings and calls with internal and external parties across various regions and time zones.

  • Travel Arrangements & Logistics: Oversee complex travel arrangements and logistics for external meetings and trips, including process expense reimbursements and securing necessary visas.

  • Event Support: Assist in managing events by booking venues, coordinating activities, monitoring timelines, arranging logistics and ensuring deliverables are met.

  • Cross-functional collaboration:  Engage in cross-functional support and collaboration with other business units, such as corporate and client events, extending beyond typical responsibilities, ensuring the Fidelity brand name is upheld with excellence and utmost standards.

  • Information Distribution & Record Maintenance: Schedule, prepare and distribute appropriate information for meetings where necessary. Organise broker and internal meetings ensuring that all broker meetings are recorded.  Ensure that meeting attendance records are accurate and complete in necessary systems.

  • Team Support: Provide backup for other coordinators during absences, maintain a broad understanding of group activities, and collaborate effectively within the team.

  • Adhoc Projects: Engage in and contribute to business projects aimed at continuous improvement within the coordinator team, participating in assignments beyond typical responsibilities with a positive and adaptable approach.

  • Corporate Access Coordination: Work in close collaboration with the Corporate Access team to facilitate Investment professionals’ participation in company meetings and conferences.

Experience and Qualifications Required

  • Prior experience as a team assistant in an Asset Management / Financial Institution would be an advantage.
  • Proven experience of supporting busy and demanding professionals
  • Excellent organisation skills with the ability to manage multiple tasks simultaneously and prioritise work appropriately
  • Professional and enthusiastic with a flexible and positive attitude
  • Conscientious, with attention to detail and consistent follow through skills
  • Exceptional customer service orientation and attention to detail
  • Strong written and verbal communication skills, able to communicate in English, Chinese, and Mandarin effectively and professionally with people at all levels
  • Self-motivated, with the ability to work effectively with diverse personalities in a fast-paced, time-sensitive environment.
  • Demonstrates flexibility in handling assignments and new processes
  • Excellent interpersonal skills with clear and concise communication
  • Ability to build and maintain relationships with both internal and external contacts at all levels
  • Strong team player and ability do flex workload to help support/cover other team members
  • Solid experience of dealing with frequently changing travel plans
  • Must have proficiency with Microsoft Office suite and AI tools: Word, Excel, PowerPoint, outlook & AI tools
