Summary: This position is responsible for managing RFP processes for both existing clients and prospective customers. The ideal candidate will demonstrate proficiency in mathematics and possess strong typing abilities. Effective multitasking and the ability to prioritize assignments are critical, as is consistent attention to timelines and deadlines. The role also requires collaboration with multiple carrier vendors and the ability to conduct renewal negotiations, all while maintaining clear communication with the NFP client support team.

Key Responsibilities:

  • RFP and Quoting Process
    • Creates RFP and conducts solicitations by submitting to multiple carriers.
    • Monitors RFP process to secure quotes on a timely basis and manage deadlines.
    • Requests client renewals from carriers (as needed, if not provided by the Account Management Team).
    • Spreadsheets carrier quotes, proofreading for accuracy and completeness.
    • Verifies carrier commissions and communicates final commissions to the team.
    • Completes Employee Contribution Analysis and Network Analysis when needed.
    • Performs renewal negotiations when directed.
  • Database and File Management
    • Maintains company database, Salesforce, for quoting activity.
    • Maintains client files with a fully completed carrier solicitation spreadsheet to help manage due dates and commission information.
    • Maintains carrier solicitation lists for all lines of coverages.
  • Team Collaboration and Communication
    • Ensure shared services and other support functions are executed effectively to meet client needs.
    • Collaborate with internal teams to ensure all aspects of client service are covered.
  • Compliance and Regulatory Support
    • Ensure benefit plan summaries and carrier documents are accurate and comply with regulations. Explain complex regulatory language to clients.
    • Work with the Compliance Team to meet client needs and ensure plans adhere to documents and descriptions. Keep updated on laws including COBRA, HIPAA, ERISA, Section 125, and Health Care Reform.
  • Team Collaboration and Communication
    • Regularly convenes with the internal NFP client support team to review renewal strategies, determine necessary commissions, and establish key timelines and due dates.
    • Coordinates relevant client information with internal team members for the purpose of facilitating the RFP process. This includes, but is not limited to, census data, experience records, claim data, and other items as necessary to complete the RFP based on market, experience, and large claim information.
    • Provides current and renewal information to the Account Manager for pre-renewal meetings.
    • Carrier and Client Interaction
      • Meets with carrier representatives and attends carrier seminars/webinars to learn new product offerings.
      • Communicates new product information to Account Management Teams.
      • Attends client functions and key client meetings.
    • Compliance and Education
      • Attends internal group meetings and webinars for compliance updates and staff education.
      • Additional duties as assigned.

     

    Knowledge, Skills, and/or Abilities:

    • Strong math and Excel skills.
    • Ability to multitask with attention to detail.
    • Excellent interpersonal, organizational, and communication skills.
    • Professional response to requests from personnel, clients, carriers, and the public.
    • Peer review and typing proficiency.
    • Effective priority and deadline management.
    • Microsoft Outlook familiarity.
    • Ability to perform basic arithmetic and calculate percentages.
    • Problem-solving, data collection, and fact-establishing skills.
    • Interpretation of technical instructions and handling abstract/concrete variables.

     

    Education and/or Experience: 

    • A bachelor's degree is preferred.
    • Requires 1+ years of experience in Employee Benefits or a related field, or equivalent education and training.

The base salary range for this position is $60,000 to $70,000.  The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location. Actual base salary offered will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
