As a part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University, a leading institution of higher learning located in Indianapolis, is seeking a dedicated and dynamic individual to join our team as an Operations Coordinator within health professions admissions at Marian University. In this role you will play a vital role in supporting prospective students in their journey towards a career in the health professions. Your passion for education, operations, and data management will contribute to the continued success of our graduate health programs.
Essential Duties and Responsibilities:
- Actively engages the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values, honoring the legacy of the founding congregation, promoting unity and integrating the Catholic Franciscan Intellectual traditions in courses, programs, and services.
- Coordinate day-to-day admissions operations for health professions programs ensuring smooth workflow and compliance with institutional policies.
- Serve as a central point of contact for prospective applicants regarding admissions processes, deadlines, and documentation.
- Manage admissions data entry and record-keeping, including maintaining accurate applicant files and updating databases or CRM systems.
- Support communications with applicants throughout the admissions lifecycle, from initial inquiry through enrollment decisions.
- Work closely with admissions counselors, program directors, administrative staff, and enrollment management to ensure alignment of processes and goals.
- Draft and send routine correspondence to applicants, departments, and external stakeholders.
- Utilize admissions software and CRM tools to track applicants, document interactions, and generate reports for leadership.
- Ensure compliance with university policies, FERPA, and relevant accreditation requirements in handling applicant data.
- Help analyze operational metrics (e.g., application trends, event attendance, conversion rates) to support process improvements.
- Identify areas for workflow efficiency, recommend enhancements, and assist in implementing updated procedures.
- Maintain and update admissions documentation, checklists, and process guide to reflect best practices and institutional changes.
- Support special projects or strategic initiatives aimed at improving health professions enrollment outcomes.

- Associate or bachelor’s degree in education, business, analytics, marketing, communications, or a related field.
- Over 10 years of relevant experience will be accepted in lieu of the degree.
Essential Functions:
- Highly desired: Previous experience working in a professional school admissions office.
- Demonstrated ability to write professional correspondence and effectively present information, responding to questions with clarity and professionalism.
- Proven track record of meeting deadlines for meetings, projects, reports, and assignments.
- Proficient computer skills, including a strong command of relevant software applications.
- Excellent communication and interpersonal skills, enabling effective collaboration with diverse stakeholders.
