
About this role
Are you an HR professional with a passion for recruiting and a desire to grow your career in other key HR functions? This is an exciting opportunity for someone with at least two years of recruiting experience, who is ready to expand their skill set and gain hands-on exposure across a variety of HR operations. HR operations are the essential, day-to-day administrative functions that keep the department running smoothly, including recruiting, onboarding, data management, compliance, and HR information systems (HRIS), and employee engagement.
JOB REQUIREMENTS & RESPONSIBILITES:
Recruitment/Talent Sourcing
- Perform and maintain the recruitment function, including but not limited to, job postings, talent sourcing, applicant screening, pre-employment assessments, internal and external offers, and background checks.
- Conduct passive candidate screening and proactive outreach to identify potential talent for current and future openings, and hard-to-fill roles.
- Drive proactive talent acquisition by implementing innovative sourcing strategies and partnering with hiring managers to streamline the hiring process and secure top-tier talent.
- Manage the Applicant Tracking System (ATS) by regularly monitoring the status of open requisitions, and managing candidate status through each stage of the process.
Onboarding
- Conduct I-9 verifications for all new hires using E-Verify, maintaining strict adherence to the 3-day time limit.
- Manage online onboarding process for new hires, including creating employee profiles, and preparing digital onboarding materials in HRIS.
- Partner with Learning & Development (L&D) and the HR team to schedule and facilitate New Hire Orientations, participating as needed for in-person onboarding.
Engagement
- Oversee the employee recognition program by promoting, managing, and frequently participating in Awardco, including administration of the GEM program, promotions, retirements, service awards and milestones, birthdays, graduations, and other celebrations to promote employee engagement.
- Serve as GEM Chair by leading committee meetings, acting as the intermediary between the committee and senior sponsors, and facilitating GEM nominations.
- Project manager of the Awardco recognition platform.
HR Support
- Prepare monthly HR reports with actionable insights.
- Distribute HR Department communications including, but not limited to, employee change of status notices, leave of absence notices, new hire notices, newsletters, resources, updates, etc.
- Manage communications for employee life events, including marriage, new babies, and bereavement, and ensuring timely coordination of cards, flower orders, baby onesies, and other gestures.
- Maintain compliance with federal and state employment laws, posting requirements, assisting with compliance reporting (AAP, EEO-1, etc.)
- Maintain accurate digital and physical employee files, including change of status forms, medical forms, performance evaluations, etc., and archiving files for termed employees.
- Maintain HR resources on the Employee Portal (intranet), reviewing forms on an annual basis to ensure accuracy and relevance.
- Prepare General Staff Meeting (GSM) PowerPoint slides.
- Utilize Canva to design internal communications, HR-related announcements, presentation slides, and other engaging material.
- Manage intradepartmental supply orders, as well as, organization-wide name badges.
EDUCATION/EXPERIENCE PREREQUISITES:
Minimum:
- Associate’s degree
- Minimum 2 years’ experience in Recruiting
- Proficient in using Applicant Tracking Systems (ATS) and Human Resource Information Systems (HRIS)
- Knowledge of federal and California employment laws and regulations relating to recruitment
- Requires excellent verbal and written communication skills to effectively communicate and work with job candidates, management, staff, and external vendors and partners
- Must be responsive to requests, with excellent follow-up and follow-through on tasks
- Demonstrated ability to multi-task, managing multiple requisitions simultaneously
- Able to think independently, problem-solve, and deliver actionable suggestions to achieve results
- Strict adherence to confidentiality and discretion when handling sensitive information
- Proficient Microsoft office skills, primarily in Excel, Word, and PowerPoint
Preference:
- Proficient in ADP Workforce Now ATS and Onboarding modules
- Bachelor’s degree with an emphasis in Human Resources
- Human Resource certifications (PHR, SHRM, or equivalent)
- Experience designing presentation materials in Canva

PAY RANGE:
In accordance with California’s Pay Transparency Act, the expected salary range for this position is between:
$26.00 - $29.00
Actual pay will be determined based on a candidate’s specific qualifications, including their knowledge, skills, education and experience, internal equity consideration, as well as other job-related factors permitted by law.
