
About this role
Key tasks and responsibilities
· Handling of technical documentation for assigned project / department / unit, both internal or from suppliers, partners or clients, using applicable Enterprise/Electronic Data Management System (EDMS - eg. IFS.
· Implement and maintain procedures, guidelines, Standards, Work Instructions and, if applicable, Client requirements for the Document Control function.
· Participate in coordination and maintenance of documentation :
* Participate in all phases of Projects from concept development, tender, bids, FEEDs, construction, commissioning, execution, modification to completion
*Guide relevant personnel in the use of the EDMS
*Follow up and secure timely delivery of all technical documentation
*Liaise with relevant personnel in project to ensure correct use of EDMS in administrative tasks
*Follow Project into Operation for a period ensuring good handover for migration to IFS
*Liaise with Business Interface to process all Joint-Venture official correspondence as required by Joint Operating Agreements and internal BW Energy processes
· Senior DC is responsible to ensure proper maintenance of records from project handover, MMP (if appropriate), creation of new records to decommissioning of a unit.
*Guide relevant personnel in the use of EDMS
*Ensure timely delivery of relevant DFO to facilities
*Interface with units as appropriate
· Tabulate and publish reports for Project / Department deliverables
· Participate in internal quality audits as required
· Work closely with and actively support all relevant departments
· Continuously seeking improvements to document handling
· Act as a mentor for DCs and ensure Project resources follow relevant DC standard and procedures.
· Take on lead roles in projects as Lead Project DC.

Requirements
Education
· Ideally a degree in records or data management
· Relevant experience may replace formal education
Experience
· Ideally a minimum of seven years’ experience as Document Controller within the Oil and Gas Industry with Operator or large engineering house experience
· Previous experience with IFS as document management tool is an advantage, knowledge of other EDMS systems can compensate
· Two-three years’ supervisory experience within a document control management environment

Knowledge
· Solid knowledge of EDMS systems, e.g. IFS, Documentum, etc.
· Knowledge of technical coding system and document numbering system
· Good knowledge of technical documentation and processes within oil / gas and offshore industries
· Knowledge of ISO standards in general, and those applicable to documentation
· IT literate
· Fluent in English (oral and written)
