Job Title: Sales & Marketing Coordinator - Injectable Aesthetics
Location: Breda Galderma Office

Key Responsibilities

1) Local & International Events

National Congresses

  • Serve as the main point of contact for organizers, suppliers, and internal teams

  • Manage sponsor contracts, PO creation, and end-to-end planning

  • Ensure full compliance (Mdeon/CGR, transparency as applicable)

  • Oversee booth branding and communication (visuals, messaging, compliance)

  • Coordinate goodie bags (concept, sourcing, packing, distribution)

 

International Congresses

  • Act as primary point of contact with organizers and internal stakeholders

  • Prepare HCP contract letters and confirmation letters

  • Ensure compliance (Mdeon/CGR when relevant for Belgian HCPs, transparency documents)

  • Coordinate registrations, booth materials, and deadlines

 

Sponsorships

  • Lead as main contact for sponsorship opportunities and execution

  • Manage sponsor contracts, POs, and planning

  • Guarantee compliance and on‑time deliverables (logos, ads, materials)

2) Marketing & Sales Materials

Marketing Materials

  • Create/develop/adapt promotional materials (digital & print) aligned with brand and claims, in collaborations with the Brand Managers

  • Coordinate material review/approvals and adaptations (localization, updates) in Veeva Vault

  • Manage translations (NL/FR/EN), ensuring accuracy and compliance

  • Coordinate mailings and distribution to Account Managers

Promo Orders

  • Process promo orders from Account Managers

  • Manage deliveries, stock levels, replenishment cycles, and warehousing coordination

 

3) Budget & Tracking

  • Maintain Marketing VM overview (budget vs. actuals; commitments)

  • Maintain Sample overview (stock, allocation, consumption)

  • Support forecasting and reconciliation with Finance; ensure timely PO and invoice closure

4) Compliance & Administration

  • Create POs across categories (events, materials, services)

  • Draft or coordinate contracts and compliance requests

  • Ensure end‑to‑end compliance with Mdeon/CGR, transparency, approvals, and documentation retention

  • Manage communication mailings

  • Coordinate Instagram content scheduling and basic community management (in line with policy), in cooperation with Brand Managers

Ways of Working

  • Reports to Marketing Manager

  • Cross‑functional partners: Sales/AMs, Medical/Regulatory/Compliance, Finance, Agencies/Suppliers

Required Qualifications

  • Bachelor’s in Marketing, Communications, Event Management, or related field

  • 2–5 years experience in event management and/or marketing coordination (healthcare or regulated industry is a plus)

  • Solid understanding of Mdeon/CGR and transparency principles (willingness to train if not expert)

  • Proven experience handling POs, contracts, and supplier management

  • Strong project management and multitasking skills with strict deadline orientation

Skills & Competencies

  • Languages: Dutch, English (working proficiency), knowledge of French is a plus

  • Tools: Veeva Vault (or similar), MS Office (Excel/PowerPoint/Teams), SharePoint, basic design tools (e.g., Canva/Adobe), social scheduling tools

  • Excellent stakeholder management

  • Eye for detail (branding, claims, QC) and a compliance-first mindset

  • Budget tracking and basic financial acumen

  • Strong written and verbal communication; structured documentation habits
