ROLE OVERVIEW

The Sales & Marketing Coordinator supports the day-to-day execution of sales and marketing activities at Nobu Hotel Ibiza Bay, ensuring accuracy, coordination, and timely follow-up across the Commercial team. The role plays a key support function within a dynamic luxury lifestyle hotel environment, working closely with Sales, Marketing, Revenue, Reservations, and Operations.

 

KEY RESPONSIBILITIES

Sales Support

•            Provide administrative and operational support to the Sales team

•            Assist with proposals, confirmations, contracts, and group enquiries

•            Coordinate site inspections, sales visits, and internal follow-ups

•            Support RFP preparation and tracking

•            Maintain and update sales files, reports, and internal trackers

•            Liaise internally with Reservations, Revenue, and Operations to ensure accurate execution of sales commitments

Marketing Support

•            Support the execution of the Marketing Plan in coordination with the Commercial team

•            Assist with website updates, including offers and basic content changes

•            Support newsletters, B2B communications, and partner mailings

•            Coordinate logistics for press stays, influencer visits, and partner collaborations, including rooming lists and internal coordination

•            Compile marketing activity summaries and basic performance reports

Reporting & Administration

•            Prepare presentations and documentation for internal Commercial meetings

•            Update and maintain trackers related to sales activity and campaigns

•            Upload and organize invoices and supporting documentation in Smartsheet

•            Ensure accurate filing, follow-up, and organization of Commercial documentation

•            Support calendar management, deadlines, and internal coordination for the Sales & Marketing team

 

EXPERIENCE & EDUCATIONS

·       Prior experience in Sales, Marketing, or Commercial roles, ideally within hospitality

·       Degree or professional training in Hospitality, Business, Marketing, or a related field preferred

·       Good working knowledge of Excel and PowerPoint

·       Familiarity with Opera PMS is an advantage, but not essential

·       Languages: Fluent in English (written and spoken). Spanish required. Additional languages are a plus.
