In this role, you will work closely with the Country Director to ensure a unified “one country approach.” You will design, implement, and coordinate local HR processes and policies aligned with global Grundfos guidelines, while ensuring compliance with local laws and regulations. Additionally, you will champion the Grundfos One Culture initiative by providing guidance and support on a wide range of HR topics.

What is the Job all about?

As Country HR Responsible, you act as a guide for the local organization into the HR system, by pointing the organization in the right direction, getting their questions answered, and ensuring a good employee experience.

This role will directly report to the Regional Country HR Manager – IMEA & APAC and dotted reporting to the Country Director.

Your Main Responsibilities:

Legal & Compliance

  • Ensure compliance with labor laws in the country, any local employment laws, and act as company representative in resolving any complaints related to such compliance issues.
  • Ensure the company is ready for internal and external HR audits and answer labor authorities’ requests.
  • Responsible for handling non-compliance cases in HR processes.
  • Embed the company values in the way we treat people from a compliance perspective.
  • Have an overview of the number of legal cases and related consequences and costs.
  • Organize any mandatory local/corporate compliance trainings at country level (if relevant).

HR policies and processes

  • Establish local policies and guidelines when needed, in respect of local legislation or company needs.
  • Design, maintain and implement local HR policies ensuring alignment with Group policies, local legislation, and Country Directorer.
  • Lead the deployment and alignment of local processes, policies, and practices across the country.
  • Translate global policies into local actions in the Country when needed.
  • Support the implementation of global HR systems and processes.
  • Act as ambassador for global policies, processes, systems, and HR delivery model.

Labor Relations

  • Support the Country Director in representing the company before workers council, unions, and in social bargaining (e.g., local collective agreement, meetings with unions, work council, etc.)
  • Support the Country Director in representing the company before courts or other interested parties in matters and work with internal and external Legal Counsel for litigated claims and other employment legal matters.
  • Support and advise Managers, HRBP’s and HR Services Centers regarding local legal and labor law issues on matters related to the administration of contracts or employee discipline or grievance procedures. This includes writing/drafting and approving employee disciplinary actions, such as written reprimands, suspensions, or terminations, in the shadow of company values and guidelines, in respect of local legislation.
  • Help to prevent employment law issues (e.g. presentation and facilitation of rules and guidelines within the area.
  • Resolve conflicts and provide counseling on legal issues for individuals or groups within the country.
  • Support global footprint activities and organization changes (if any) and responsible for the compliance element related to this.
  • These tasks will be performed in close contact with external or internal legal partners / labor compliance specialists.

People And Culture

  • Drive and support the One Grundfos culture approach in the country.
  • Contribute to the alignment of employment conditions at the country level.
  • Responsible for managing agreements and deliverables with local vendors related to local HR deliveries at country level, where not supported by the Global HR set up.
  • He/she also acts as the HR “go-to” person in the country for Group initiatives impacting HR to ensure a country level approach.
  • Coordinate any initiative that would contribute to offer the Managers’ and employees' users experience at country level.
  • Deploy the Group initiatives on DE&I, Mental wellbeing, Employer Branding role and others similar initiatives.

Transactional Activities

In each of the following HR delivery areas (non-exhaustive), Country HR will be responsible and apply specialized knowledge:

Payroll

  • Consolidate payroll data from various sources and provide input to external payroll vendor
  • Ensure the payroll input process according to legal standards and internal procedures
  • Review calculations & work with external payroll vendor on any necessary adjustments, ensure payroll accuracy
  • Manage T&A system
  • Quality checks
  • Coordinate country Tax, Pension & Social Security reporting and funding

Benefits & Compensation

  • Support Country Director in proposing new benefit implementations to Global Reward
  • Support Global Reward on benefit alignments
  • Design and maintain local benefit policies
  • Collaboration with local HR vendors and vendor management (e.g. PO creation)
  • Local benefit administration (pension, retirement, health programs, insurance, etc.)
  • Local share coordinator
  • Jubilee coordination
  • Ensure the Short Term Incentive targets are accurate and do manual incentive calculation for exceptions calculated outside of Employee Central (e.g. special local scheme)

Preboarding & Onboarding

  • Employee master data
  • Collect personal data and background check
  • Prepare Employee Contract and Addendums and Register New employee (Global)
  • Execute local Pre-boarding activities (e.g. open new personnel physical file, medical check, benefits enrolment, registration to local government sites)
  • HR orientation for new employees (policies and benefits)
  • Company orientation for new employees (policies and benefits)
  • Send out onboarding communication
  • Local announcements
  • Probation process coordination

Employee Movements

  • Create employment contracts/contract amendments
  • Request employee and organizational data changes (employee movements, new departments, salary, etc.)

Offboarding

  • Handle exit procedures
  • Follow up on offboarding administration request
  • Review and confirm exit details
  • Ensure the Exit checklist is completed
  • Ensure termination in payroll system and final payout
  • Execute local offboarding activities (e.g. archive personnel physical file, terminate employees in local benefits plans, governmental sites, etc.)
  • Ensure local exit documents are issued
  • Retirement coordination

Mobility And Recruitment

  • Local admin support in connection with expatriates, short-term assignments, etc.
  • Assist with travelling letters for VISA Applications and renewals
  • Recruitment Support
  • Assist recruitments in postings on local job boards
  • Assist in verifying job offers (ensuring alignment to local policy)
  • Liaise with the agencies when required by recruiters (compliance for Equal Opportunity)
  • Guide and find vendor if needed on blue collar recruitment
  • Guide and design process for Intern recruitment - the manager is responsible
  • External consultant recruitment - the manager is responsible

Learning & Development

  • Collaborate with local training vendors
  • Registration of learning activities
  • Support in local training arrangements / contracts negotiation / vendor management and payments

Compliance & Reporting

  • Group reports
  • Reports for local authorities
  • HR admin tasks like filing, photocopying, scanning, updating staff list, ensure personnel files are up to date and core documents are in place and regularly updated
  • Keep records of daily Labor Relations related activities, update records and files of labor matters
  • Leave management and follow up
  • ISO - Follow up with Managers and HRBPs on Training Plan for the year for ISO compliance / for the year
  • ISO - Collating the Data from Performance Development Dialogue / monthly report from Poul Due Jensen Academy
  • ISO - Collecting Feedback and evaluations
  • Audit: Preparation for HR audits, audit day meeting, follow up
  • Preparing documents for Labour Court cases
  • Arrange annual local compliance-related training courses end to end (with collaboration of other departments where applicable, e.g. EHS)

Employee and organizational data

  • Manage incoming requests in the HR Service Portal for employee and organizational data changes (employee movements, new departments, HR reports etc.)
  • Provide employment and salary certificates, travel NOCs, banks, etc. for employees, other reference letters

Your Background:

  • Relevant bachelor’s or master’s degree
  • Minimum 5 years of experience within HR with solid hands-on experience with the operational aspects of all HR disciplines
  • Experience with design of HR processes and polices and continuous improvement
  • Experience working with HR systems
  • Experience with employment and labor law, collective agreements and collaborating with Unions/Work Councils or shop stewards (if any)
  • Experience working in an international company with a shared service set up and matrix organization
  • Knowledge of general HR practices and trends in the given country
