We are seeking a Contract Coordinator to support the commercial and contractual administration of construction projects. This role focuses on disciplined documentation, contract compliance tracking, and change management support, working closely with field teams, Project Management, Project Controls, and Contracts/Legal partners.
The Contract Coordinator plays a key supporting role in maintaining project records, tracking contractual obligations, and ensuring timely and accurate documentation of changes, correspondence, and project events. The position is designed as a developmental role for professionals building a career in contract administration, commercial management, or project leadership, offering hands-on exposure to construction contracts and project execution.
Key Responsibilities
Contract & Change Administration
- Assist with review of prime contracts, subcontracts, and change order procedures to understand notice requirements, timelines, and compliance obligations.
- Track and maintain project documentation, including change order requests, change orders, RFIs, submittals, meeting minutes, payment applications, and formal correspondence, ensuring timely and contract-compliant submission.
- Support timely preparation, routing, and logging of project documentation, including contractual notices, change documentation, and supporting records in accordance with contract requirements.
- Maintain organized logs, trackers, and dashboards documenting change activity, deadlines, approvals, and outstanding items.
- Coordinate with Project Management to identify potential scope changes, delays, or cost impacts requiring documentation or formal contractual action.
Document Control & Compliance
- Support establishment and maintenance of project document control systems to ensure consistency, version control, and accessibility.
- Assist in assembling backup documentation for change orders, claims, and disputes, ensuring records are complete, accurate, and traceable.
- Monitor documentation completeness and flag gaps or inconsistencies to the Contracts Manager or Project Manager.
Commercial & Project Support
- Coordinate with Project Controls to align documentation with cost and schedule updates.
- Assist in preparation of change order narratives, summary exhibits, and supporting schedules.
- Provide support to Contracts Managers and Project Managers related to contractual matters.
Communication & Coordination
- Act as a point of coordination between field personnel, project management, project controls, and contract/commercial teams.
- Participate in recurring project meetings related to change management, documentation status, and compliance tracking.
- Escalate documentation issues, missing information, or upcoming contractual deadlines to appropriate project leadership.

What it takes?
- Bachelor’s degree in Construction Management, Engineering, Business, or related discipline.
- 2+ years of experience in construction project engineering, project administration, contract coordination, or commercial support roles.
- Basic understanding of construction contracts and change management processes.
- Ability to read and interpret contract language, scopes of work, schedules, and cost-related documentation with guidance.
- Familiarity with construction management and document control platforms.
- Strong organizational skills and professional written communication abilities.
- High attention to detail with a willingness to follow structured processes and standards.
- Proficiency in Microsoft Excel and Word; exposure to dashboards, reporting tools, or scheduling software a plus.
- Experience on $100M+ projects.
- Willingness to regularly work at project site(s) to support assigned project(s).
