YOUR ROLE

We’re looking for a dynamic Manager, Office of the CEO/COO, to support our Global CEO and COO.

Your primary responsibility is to be the point person for the CEO and COO, allowing them to work more efficiently and maintain the strategic mindset vital to a growing global agency. The Manager acts as a bridge between the CEO/COO and the broader team by handling communication, coordinating projects, and maintaining operational efficiency including administrative responsibilities. You collaborate closely with and on behalf of the CEO/COO to help optimize all facets of the agency and have visibility across all internal and external partners.

You are the ideal candidate if you can balance the big picture while ensuring details are executed flawlessly. You have an understanding of how the ad industry works and can connect all the dots quickly and calmly no matter the situation. You’re driven by making things better whether it’s an operational process, agency event or partner experience.

This position is based in our NY headquarters. While we offer a hybrid work setting, due to the nature of the role, there is an expectation of a primarily in-office presence to effectively support executive and agency event needs.

YOUR RESPONSIBILITIES

Proactively manage CEO/COO’s complex calendars to ensure their time is spent where it matters most; includes prioritizing access across internal and external partners, ensuring smooth flow of activity and resolving (ideally pre-empting) scheduling conflicts amidst changing priorities
Be present in key CEO/COO meetings to capture notes, extract strategic insights and identify action items; follow-up on action items to drive accountability and effective decision making
Collaborate with executive leadership team (ELT) to optimize agency-wide systems and track & optimize accountability (OKRs)
Build high-functioning direct relationships with all direct reports’ and agency stakeholders to help CEO/COO effectively meet their needs and assist in prioritization of work
Manage executives’ communication including handling correspondence, responding to emails and serving as point-of-contact for internal and external parties
Create, modify, format documents electronically including letters, memos, PowerPoint presentations, Excel spreadsheets, and other related documents (discretion is key as information may be of a highly confidential/ critical nature)
Research, distill and simplify industry data in support of CEO/COO decision-making
Organize meetings including logistics coordination, material prep and polished execution
Coordinate all domestic & international travel details with precision
Ensure the timely submission and repayment of expenses
Oversee ad hoc projects as identified by the CEO/COO from inception through implementation
Support CEO/COO needs across time zones based on travel schedules – this is not a 9a-5p job

REQUIREMENTS

Experience (10+ years) in an administrative or business operations role reporting directly to executive leadership; experience with advertising, marketing or media is highly desirable
Proven business acumen with the ability to confidently prioritize communications, initiate follow-up and troubleshoot
Strong time-management and problem-solving skills, able to calmly multi-task on a deadline while thinking two projects ahead
High degree of initiative, positive energy, accountability and pragmatism (adaptable mindset a must)
Extremely organized, detail-oriented with the ability to think strategically and act tactically
Professional, polished with the utmost discretion
High collaborative and adept at building relationships across different functions & personality types; high degree of emotional intelligence
Strong written, visualization and verbal communication skills and able to present thoughts clearly, accurately and concisely
Digitally advanced with expertise with Excel (including pivot tables, conditional formatting and power query), PowerPoint, Microsoft Word, Outlook, SmartSheet; Adobe Creative Suite and data visualization tools (Tableau) a plus
Bachelor’s degree preferred or equivalent professional experience

SALARY: 100-125k. Commensurate with experience. Compensation is determined on the skills, qualifications and tenure of the applicant.
