Responsibilities

Legal Administrative/Billable Tasks:

Document drafting and revisions in both real estate, trusts and estates, and other departments as assigned.

Provide legal administrative support to include expense reports, scanning documents, uploading legal documents to iManage (electronic filing system), document preparation, drafting and interacting with clients as the attorney’s delegate.
Approximately 40%-50% of your time will be billable with a goal.

Concierge And Administrative Tasks:

Provide overall office management, such as ordering office supplies and maintaining public spaces, including conference rooms, lobby, and breakrooms.
Process incoming and outgoing mail and packages daily
Daily errand runs to Courthouse, post office and other locations daily.
Back up for Front desk coverage daily: greet clients and visitors with a smile and ensure five-star hospitality is provided during the visit
Support File Specialist with file maintenance, including file room organization, closing and thinning files as backup support when needed
Large scanning projects, document preparation and assembly of workbooks, and other administrative tasks as assigned
Assist Concierge Services Manager with scheduling conference rooms and communicating effectively with all team members to ensure schedule coordination.
Place catering orders for food, beverages, and refreshments as necessary and set up/clean up meeting rooms accordingly.
Prepare all meeting rooms with proper equipment, technology, and accessories as needed.
Answer and direct incoming calls on a multi-line phone system and assist with responding to inquiries.
Some planning, support and execution of events and firm functions.

Familiar and comfortable with video conferencing software (Microsoft Teams, Zoom, or similar) – preferred but not required

The Oregon Department of Justice’s Criminal Justice Division is seeking to hire one Legal Assistant (Legal Secretary) to support division agents, investigators, and attorneys! This recruitment is for candidates interested in working in the Portland office. This role comes with a variety of daily duties from trial prep, e-filings with the court, coordinating travel for division staff, and more. Job Duties (in part)

Due to the nature of this position for training, the required work hours are 8 a.m.– 5 p.m., Monday through Friday, with an hour scheduled for lunch. After training is complete, there may be more schedule flexibility including a hybrid schedule.

Open case files and enter information in the case management system (including notes, court dates, and documents).
Prepare discovery and keep track of records, materials, and information.
Review records for accuracy and completeness.
Draft legal correspondence and documents (including subpoenas, discovery letters, simple jury instructions, etc.).
Proofread and edit various legal correspondence and documents (including pleadings and motions, warrants and affidavits, etc.).

Review the assigned docket weekly to identify upcoming case events requiring your action.
Prepare and organize trial notebooks.
Coordinate witnesses for court appearances and maintain witness schedules.

Arrange and track travel for division staff in accordance with Department policy and the Oregon Accounting Manual, including out-of-state travel.

Job Description

You will provide paralegal, clerical, and administrative support to the Appeals & Postconviction Department (APC) and the Trial Department. The APC department includes a team of 13 attorneys who collectively provide representation in a wide range of proceedings occurring after a client has been convicted of one or more non-capital crimes. APC represents clients in state and federal courts on emerging criminal legal issues and regularly accepts appointments for client representation from courts across the state in appeal and post-conviction matters. Many of our clients are incarcerated throughout Ohio in the Ohio Department of Rehabilitation and Correction.

The Trial Department is a three-person team of attorneys who represent individuals at the trial level across Ohio’s 88 counties. This team’s focus is on high-level felony cases, death penalty representation, complex or strategic litigation, and representation of clients who have had strained relationships with prior counsel.

You will join a three-person APC Core Support team, under the leadership of the Department’s Program Administrator, and work closely with that team as well as the Department’s 13 attorneys. We are seeking a collaborative, organized, and motivated candidate. You will prepare, review and edit various legal documents, including briefs and other pleadings for trial and appellate cases in all state and federal courts.

What You Will Do (in part)

You’Ll Be Entrusted To:

Prepare legal documents such as petitions, summons, subpoenas, and orders for Assistant Attorney General review.
Conduct research and connect with partner agencies to gather essential information for service of legal documents.
Effect service of legal documents to parties, community partners, witnesses, and business entities.
Maintain calendars of required court hearings, appearances, and document due dates.
Monitor and update case information as well as court and agency deadlines using an electronic case management system.
File legal documents using the court’s eFiling system.

Required Experience

Two years of clerical/secretarial experience which includes at least one year as a legal assistant or secretary for an attorney or judge or performance of legal support duties (such as preparing legal documents, maintaining legal records, or researching legal information). Experience must include proficiency in word processing software.

Have and maintain a valid driver’s license.

And

Currently commissioned as a Notary Public in the State of Oregon OR able to become commissioned in Oregon within 6 months of appointment.

Work experience is based on a 40-hour work week. (Example: 20 hours a week for one year would equal six-months of work experience.)

The Death Penalty Department is seeking a dedicated professional to serve as a Paralegal/Legal Assistant 2. The Department represents death-sentenced clients in all stages of post-trial litigation and executive clemency. Post-trial litigation may include direct appeal, post-conviction, and federal habeas corpus litigation. The Department emphasizes a client-centered, team approach to representation and is comprised of three core positions and 14 attorneys.

You will support the department by providing paralegal, clerical, and administrative support to department attorneys. Keeping the company chops, applying the chops pursuant to the China legal counsel’s instructions, and logging the use of chops in the chop written record document.
Managing the legal bills and invoices from outside counsel and liaising with outside counsel when needed regarding said invoices.
Tracking the developments in Chinese laws, regulations, and government enforcement initiatives.

What You Bring:

Bachelor's degree in Law from an accredited Chinese law school
Passing the Chinese Bar Exam preferred.
Minimum 1 year of experience as a legal assistant or paralegal in a multinational corporation or reputable law firm.
Strong command of both Mandarin and English (written and spoken).

As a Legal Assistant, you will be responsible for managing the law firm's day-to-day operations, including carrying out administrative services and supporting the legal team. Responsibilities

Perform administrative duties (scheduling calendar hearings and deadlines, organize case files, manage logistics)
Maintain pleadings and discovery indexes
Organize exhibits, documents, evidence, briefs, and appendices
Implement and improve upon administrative processes for more efficient workflow
Collect, examine, and organize evidence and other legal documents for attorney review and case preparation
Draft and proofread correspondence and legal documents, such as pleadings and contracts
Research regulations, laws, and legal articles to assist with the preparation of reports, case files, and legal advice
Manage client billing by preparing, finalizing, and sending out bills, as well as resolving billing issues in cooperation with the billing attorney

Qualification

High school diploma or general education degree (GED) required
Associates degree in paralegal studies, a paralegal certificate, or a bachelor's degree is preferred
At least 2 years of experience as an administrative assistant (preferably in a law firm or in a corporate legal department), legal assistant, legal secretary, or paralegal
Experience in Personal Injury, Workers Comp, Premises, or other injury related practice areas (preferred)
Must possess the ability to multi-task, prioritize, handle a fast-paced environment, and manage workload with a great attitude and minimal supervision
Great written and communication skills, be proficient in calendar depositions, mediation, and hearings
Applicable knowledge of motions, discovery, evidence, litigation documentation, court rules, and procedures, practices, etc
Highly organized with the ability to juggle multiple deadlines in a fast-paced environment
Strong writing and communication skills along with attention to detail
Extensive computer and database expertise, Microsoft Word, Excel, Outlook, and type no less than 35 wpm

Key Responsibilities:

Provide general administrative support to our legal team, including scanning and saving documents, PDFing and saving email, distributing mail, preparing mail and FedExes, pulling physical files, requesting checks, and researching information internally and online
Gather information from various stakeholders and timely submit responses to subpoenas, discovery and regulatory requests
Using templates, prepare litigation hold notices, correspondence, agreements and other forms and notices
Update and maintain sources of truth, including databases and spreadsheets, with absolute accuracy
Monitor service of process notices, including subpoenas, garnishments, notices and legal claims, and process them following written guidelines
Assist with saving, coding and submitting legal invoices for payment
Provide support for special projects as needed
