POSITION SUMMARY: This position functions as a member of the patient care team performing medical assisting duties. Requirements

Education And/Or Experience:

High school diploma or general education degree (GED) required.
Graduate of an accredited medical assisting program; OR successful completion of the internal PMS Medical Assistant II training and assessment program; OR one year experience as a Medical Assistant.
Thorough knowledge of nursing aide duties preferred.
Must be deemed competent in phlebotomy at time of hire.
Ability to speak Spanish or Navajo desired.

Certificates, Licenses, Registrations:

Must have by date of hire and maintain current throughout employment a national certification/registration which enables participation in Computerized Provider Order Entry (CPOE) as defined by the Centers for Medicare and Medicaid Services (CMS). These may include one of the following certifications/registrations:

Certified Medical Assistant (CMA) from the American Association of Medical Assistants (AAMA);
Registered Medical Assistant (RMA) from the American Medical Technologists (AMT) or American Allied Health (AAH);
Certified Clinical Medical Assistant (CCMA) from the National Healthcareer Association (NHA); or
National Certified Medical Assistant (NCMA) from the National Center for Competency Testing (NCCT).
Certified Clinical and Administrative Medical Assistant (MA1) from MedCA; or
California Certifying Board for Medical Assistants (CCBMA) – a nationally-recognized certification; or
Nationally Registered Certified Medical Assistant (NRCMA) from the National Association for Health Professionals (NAHP).

Have or be able to obtain First Aid and BLS/CPR certification within 30 days of hire date. Screening Requirements:

According to PMS Human Resources Policy 205.006, “Healthcare Personnel Testing & Immunization Requirements,” this position must comply with required testing and immunizations. Testing and immunizations including TB, Hepatitis B (consent or waiver), Tdap, MMR, and Varicella, will be available at the employee’s PMS health center. Influenza vaccines will be required according to dates set by the CDC and NMDOH.
If assigned to the Checkerboard Area Health System, this position requires successful completion of an initial post-offer of employment Criminal Records Check.
Must pass skills competency assessments within 90 days of hire and as required throughout employment.

Gathers medical equipment needed for exam, sets up procedural trays per provider instructions, and properly disposes of used equipment/ linens per CPH policy. Cleans exam table and room after patient exam, per CPH policy. Comfortable with basic medical support procedures as per provider orders, tending to lab work or culture collection as directed and readying for courier pick-up, and properly addressing basic office procedures. Assuring that all medications given on site by nurse or provider have the proper lot number and expiration date entered into EHR, and patient is given written instructions/patient education explaining any medications given per the provider in clinic. Note: It is outside the MA scope of practice to dispense any medications, but recording of lot numbers, etc. paperwork is inside the scope of practice. Schedules medical tests or referrals per provider instructions, either by telephone or computer.
Medical Documentation: Accompanies provider into the patient examination area to transcribe into the EMR documentation of medical processes including, but not limited to: History and physical, any procedures performed by provider, diagnostic and procedural activity performed by provider, instructions and prescriptions for care team follow up and discharge/follow up information for the patient and the care team. Ensures that all documentation entered into the EMR is noted as transcribed by the CMA and that the provider signs to acknowledge documentation is accurate as required by federal/state and CMS regulations and DNV certification. Communication: Works with directors, providers and nursing staff to resolve clerical or patient flow/time management, as well as quality control issues. Essential Functions

Essential functions are those tasks, duties and responsibilities that comprise the means of accomplishing the job’s purpose and objectives. Conduct patient registration, which includes securing required paperwork and insurance documentation, and verification of insurance and patient eligibility.

Process co-pays and schedule patient appointments for assigned center.

Coordinate provider referrals to assigned Specialist.

Answer patient questions regarding their care and keep them informed of their status.

Inform technical staff of patient flow.

Prepare patients for examination, which includes conducting interviews to verify patient information, record medical history; confirm purpose of visit;

Perform preliminary physical test (blood pressure, weight, temperature, etc.) for vital signs and escalate critical cases to provider as needed.

Conduct point of care testing as needed (i.e., flu, strep, urinalysis, ECG, HCG); and provide patient information to provider.

Responsible for stocking supplies and maintenance of exam rooms, front desk, and reception area; ensure providers have medical supplies needed.

Responsible for completing order sheets to maintain supply inventory levels; regularly check expiration dates on supplies.

Responsible for maintenance of medical records and scanning charts to patient files.

Answer phone calls, collect and sort daily incoming and outgoing postal correspondence

Ensure reception is well maintained

Conduct courtesy call-backs for patient follow-up.

Perform opening and closing duties, which includes cashing out, end-of-day communication, and securing the building.

Follow operating instructions to perform and document daily controls and calibration of equipment; maintain Quality Assurance/Quality Control logs for equipment troubleshoot breakdowns, perform preventive maintenance, and submit repair tickets as needed.

Under direct supervision of the on-site provider, assists in the delivery of patient care. Performs delegated medical tasks, assists providers and nursing staff with patient care and may perform clerical duties. Job Duties:

Provides direct patient care and clinical support for physicians and other providers in the outpatient setting. Identifies patient care problems through subjective and objective data collection and communicates them to the provider. Documents patient intake including vital statistics, verification of allergies, past history, updated medication list, and review of system findings as stated by patient or delegate. Performs assigned clinical procedures and treatments as ordered and within the appropriate function of the physician-validated skillset of the CMA with appropriate, timely documentation. Assists in patient education as needed.
Maintains up-to-date and accurate documentation of care provided to patients by authenticating all entries in the medical records and maintains office records and logs as directed by the supervisor.
Collect specimens and appropriately fills out forms in accordance with department/unit standards.
Accurately and thoroughly scribes in real time: patient medical history and physical exam, procedures and treatments, patient education and instructions, test results, and physician diagnoses as directed, adhering to documentation requirements and scribing policies.
Performs front office duties as needed, such as receiving and directing phone calls to the appropriate person, performing patient-related scheduling activities for the providers, and handling payments on accounts and medical co-pays.
Demonstrates appropriate use of AIDET when registering patients.
Enters new patient data and/or verifies patient records are up-to-date, confirms the completeness of the electronic health record (EHR), makes changes as necessary, and completes an accurate registration.
Verifies insurance eligibility and benefits on each patient.
Collects out-of-pocket liabilities from patients upfront and applies and reconciles daily point-of-service cash reports.
Refers patient accounts to financial counselors when further explanation/education is needed regarding out-of-pocket liabilities, payment plans, etc.
Maintains compliance in RQI.
Assumes all other duties and responsibilities, as necessary.

Qualifications

Minimum Education/Experience Required:

High School Degree or GED required.
Completion of an accredited medical assistant program with an AAMA, RMA, or NHA certification or approved equivalent required.
Previous healthcare experience preferred.
BLS Certification required.

This is a unique opportunity for an experienced internal medicine Certified Medical Assistant to provide real time, dynamic member, provider and stakeholder clinical support. In this role, reporting to the Director of Optimization Outcomes and Performance, you will serve as a partner and first pass responder to member phone calls, pharmacy calls and clinical triage within an existing protocol. Responsibilities

Provide timely, professional response to urgent care line clinical response to Twin members, pharmacies and external PCPs as evidenced by adherence to partner specific SLA metrics.
Escalate calls appropriately to the provider or nursing team via a specific clinical escalation protocol as evidenced by member satisfaction and adherence to clinical protocols.
Some outreach to members to confirm appointments leading to reduction in no show and cancellation rates for contacted individuals.
Some phone calls to pharmacies to assist with auto-refill cessation where directed.
Tracks and reports on specific processes, as determined by managing team
May include member outreach to help complete health risk assessments and capture missing information over the phone
Utilizes EMR tools/platforms, portal messages, phone calls, faxes and/or letters
May help initiate medication refill requests
Participates in team huddles, care management planning and operations meetings
Participates in continuous process improvement activities and initiatives
May performs administrative tasks (indirect care) that support the care team

Qualifications

National Certification in Medical Assisting
5+ years of experience in a healthcare setting, working with clinicians

2+ years of college

Certified Clinical Medical Assistant (CCMA) from the National Healthcareer Association (NHA); or
National Certified Medical Assistant (NCMA) from the National Center for Competency Testing (NCCT).
Certified Clinical and Administrative Medical Assistant (MA1) from MedCA; or
California Certifying Board for Medical Assistants (CCBMA) – a nationally-recognized certification; or
Nationally Registered Certified Medical Assistant (NRCMA) from the National Association for Health Professionals (NAHP).

Have or be able to obtain First Aid and BLS/CPR certification within 30 days of hire date. Certification must meet the requirements listed in the document “BLS / CPR / ACLS & First Aid Training Resources” posted on Staurolite. Screening Requirements:

According to PMS Human Resources Policy 205.006, “Healthcare Personnel Testing & Immunization Requirements,” this position must comply with required testing and immunizations. Testing and immunizations including TB, Hepatitis B (consent or waiver), Tdap, MMR, and Varicella, will be available at the employee’s PMS health center. Influenza vaccines will be required according to dates set by the CDC and NMDOH.
Must pass skills competency assessments within 90 days of hire and as required throughout employment.

Primary Responsibilities

Patient Experience

Greets patients in courteous, friendly, respectful and professional manner always, including maintaining eye contact when appropriate.
Follows communication protocols. Responds to customer questions/concerns/complaints and attempts resolution. Pursues service recovery when customer’s expectations have not been met.

Clinical Duties

Gathers and documents brief history and chief complaint in the medical record. Accurately complete and document patient questionnaires, health screenings, and chief complaint in the EMR, ensuring high-quality and compliant documentation that supports optimal care. Act as a clinical resource for Medical Assistant I.
Follows established practice workflows to facilitate efficiency and timely service to patients.
Prepares patient for examination by the health care provider. Performs and documents vital signs (blood pressure, pulse, temperature) and risk screening on all patients per hospital and/ or practice policy. Reports out of range values in vital signs and risk screening to the provider. Assists provider with procedures
Performs routine clinical testing, including but not limited to obtaining blood and urine specimen, vision testing, hearing screening, incentive spirometry, EKG, point of care testing, and vital signs. Follows established guidelines or protocols where applicable to obtain necessary testing based on the chief complaint prior to the exam.
Provides pre-printed patient education /material as directed by the provider.
Performs high-level disinfection of equipment instrument and environment per hospital and/ or practice procedure.
Stocks/restocks supply and exam rooms maintaining necessary supplies in clinical area.
Ensures equipment used in clinical area has a current clinical engineering sticker and is ready for use.
Provides care appropriate to the patient populations(s) served. Assess data reflective of the patient’s requirements relative to population-specific and age specific needs. Provides the care needed as described in the unit/area/department policies and procedures. Is aware of social drivers of health as they impact overall health of the patient and the community.
Participate in medical assistant skill development and competency evaluation.
Participates in practice-based process improvement efforts.
Active participant in clinic huddles/staff meetings.
Meets all competencies in medical assistant roles specific to the practice site. Works independently and serves as a resource for others. May precept new medical assistant and students within practice development
Based on established competencies, administers select medications and injections under direct supervision of provider as per hospital and/ or practice policy. Assists in the vaccination programs, including giving injections and tracking data in an approved database.

Administrative Duties

May assist with front desk operations with oversight to include but not limited to: patient check in and check out, scanning and filing, patient phone calls, and fee disclosures.
Enhances the patient and family experience by informing of possible delays, as well as being aware of potential barriers to a positive patient experience and remediating or escalating using the chain of command
Timely review of business communication, such as In Basket, email, and telecommunications
Plays active role in compliance with regulatory and practice and/ or hospital policy requirements. Maintains a safe environment of care and reports safety concerns.

Additional Duties

Participates in personnel skill and competency development and training as requested by practice manager.
Responsible for self-learning; attends educational offerings and in-services independently.
Performs other duties as assigned.

Qualifications

Education & Experience - Required

High school diploma or equivalent.
Completion of an accredited Medical Assistant program.
1. Special circumstances to consider an exception may include: (1 year of supervised work experience in a medical assisting field within the last 3 years; or 2 years of supervised work experience in a medical assisting field within the last 5 years). These should be vetted by Human Resources Director and Department Director.
Current BLS certification.
Medical Assistant certification preferred

Knowledge, Skills, & Abilities

Knowledge of aseptic and sterile techniques.
Knowledge of blood and body fluid precautions.
Ability to perform basic clinical skills such as obtaining vital signs.
Ability to communicate effectively with patients, team members within the practice, and other members of the organization.
Demonstrates ability to work on a team and effectively communicate with colleagues and patients.
