Description
The Administrative Assistant provides comprehensive administrative support to the Nursing Program, including direct support to the Dean of Nursing and Nursing Department faculty. This role is essential to the daily operations of the program and serves as a primary point of contact for students, faculty, staff, and external partners. A high level of professionalism, organization, discretion, and attention to detail is required.
Duties and Responsibilities
Duties include, but are not limited to:
· Provide administrative support to the Dean of Nursing and Nursing Department faculty
· Serve as a primary point of contact for students, faculty, staff, vendors, and visitors
· Respond to in-person, telephone, and email inquiries in a professional and timely manner
· Draft, format, and distribute correspondence and departmental communications
· Schedule, coordinate, and support meetings; prepare materials and record minutes as needed
· Maintain accurate student records in compliance with institutional, regulatory, and accreditation requirements
· Track and manage student compliance documentation, including health and clinical requirements
· Maintain faculty files, credentials, evaluations, and required documentation
· Assist with class, lab, faculty, and clinical scheduling processes
· Collect, organize, and archive academic materials such as syllabi, schedules, and evaluations
· Assist with data collection and preparation of reports and summaries
· Support institutional and ACEN accreditation activities and documentation
· Assist with clinical coordination paperwork and related documentation
· Support tutoring services, open skills lab hours, and skills lab coordination as needed
· Assist with departmental events, orientations, pinning ceremonies, and graduation activities
· Maintain organized electronic and physical filing systems
· Monitor office supply inventory and submit requests as needed
· Coordinate with IT/Helpdesk to report and track technical issues
· Handle sensitive and confidential information with discretion and professionalism
· Perform other related duties as assigned in support of Nursing Program operations
Requirements
Required Qualifications
· Associate degree and/or a minimum of three (3) years of relevant administrative experience
· Experience in higher education or healthcare preferred
· Strong organizational, communication, and time-management skills
· Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint
· Ability to work independently and collaboratively in a fast-paced academic environment
