About the Role

Are you an elite-level administrative professional ready to step into the engine room of one of the fastest-growing home service companies in the Midwest?

Four Seasons Heating, Air Conditioning, Plumbing & Electric, the largest residential HVAC contractor in North America, is looking for a high-performing Administrative Assistant. This is not a basic admin role—this is a strategic support position designed for someone who thrives in a fast-paced, data-driven environment. You'll help drive efficiency, clarity, and execution across multiple departments including HVAC, Plumbing, Electrical, and more.

 

Pay Range- $50K-$55K

What You’ll Do

Operational Support & Reporting:

  • Run, format, and interpret daily and weekly Excel reports across multiple departments
  • Provide clear, digestible overviews highlighting key metrics, red flags, and growth opportunities
  • Support meeting prep by compiling performance dashboards, updating scorecards, and tracking KPIs

Communication & Scheduling:

  • Manage Outlook calendars, proactively schedule meetings, and ensure deadlines are met
  • Serve as gatekeeper and liaison for incoming communications—whether internal teams or external partners
  • Coordinate follow-ups, call recaps, and assist in preparing high-level executive summaries

Documentation & Admin Duties:

  • Draft and edit reports, proposals, SOPs, and slide decks
  • Maintain records for ongoing projects across sales, service, and training operations
  • Help coordinate departmental initiatives, contests, or marketing campaigns

What You Bring

  • 3+ years in an executive, operations, or administrative role
  • Expert proficiency in Microsoft Excel (pivot tables, formulas, dashboards)
  • Proficiency in Microsoft Outlook, Word, and PowerPoint
  • Strong reporting and analytical skills — you can take raw numbers and make them meaningful
  • High organizational IQ — able to anticipate next steps, streamline workflow, and juggle multiple priorities
  • Confidentiality and professionalism when dealing with executive-level information

Previous Experience 

  • HVAC, plumbing, construction, or trades industry exposure
  • Experience with CRM, project management, or call tracking software
  • Bilingual communication (English/Spanish)
