1. Project Monitoring & Coordination
- Monitor project activities, timelines, and milestones across functional tracks (FICO, SCM, MM, PP, SD, QM, etc.).
- Track action items, decisions, risks, and issues across workstreams and geographies.
- Maintain up-to-date project plans and RAID logs on a regular basis.
2. PMO Support
- Act as the business-side coordinator within the PMO team.
- Align with the IT PMO for integrated project updates and ensure business needs are represented.
- Coordinate internal reviews and ensure timely submission of status updates from process owners and track leads.
3. Reporting & Documentation
- Prepare weekly and monthly progress reports for the PMO and leadership.
- Consolidate and format inputs from multiple stakeholders into a unified status report.
- Maintain project documentation, meeting minutes, and follow-up trackers.
4. Presentation & Stakeholder Communication
- Prepare high-quality presentation decks for Steering Committee and Sponsor meetings.
- Support the Program Manager in creating executive-level summaries and dashboards.
- Ensure consistent communication and messaging across all stakeholder groups.
5. Meeting Coordination
- Schedule, facilitate, and document key meetings (status reviews, sponsor meetings, issue escalations).
- Ensure timely distribution of agendas, minutes, and follow-up items.
- Support preparation and rehearsal for high-stakes presentations.
6. Change Management & Communication Support
- Coordinate with Change Management team for stakeholder engagement activities.
- Assist in preparation of communication material (newsletters, updates, campaign messaging).
Key Skills & Competencies:
- Strong project coordination and multi-tasking skills in complex programs.
- Excellent written and verbal communication, especially for executive audiences.
- Proficiency in MS PowerPoint, Excel, and project management tools (e.g., MS Project, Smartsheet, or similar).
- Analytical mindset and ability to consolidate data into meaningful insights.
- High attention to detail and quality orientation.
- Strong interpersonal and stakeholder management skills.
- Ability to work across time zones and cultural boundaries.
Qualifications & Experience:
- Master’s degree in Business Administration, Project Management, or related field.
- 5–8 years of experience in project coordination or PMO roles, preferably in SAP or ERP implementations.
- Prior exposure to multinational SAP S/4HANA programs is highly desirable.
- PMP/Prince2 or equivalent certification is an added advantage.
