Your New Role 

The Office of the Chief Executive and Chair supports the Chief Executive in delivering on his accountabilities to the Fund. The Chief Executive’s Executive Assistant provides professional administration support to the Chief Executive and Chair and works closely with the Board’s Executive Assistant. Reporting to the Head of the Chair and Chief Executive’s Office, this role establishes and maintains effective relationships with the Chief Executive and senior leaders to ensure all administrative matters are managed efficiently. 

Key responsibilities will include;

  • Provide a high level of effective and confidential administrative management support to the Chief Executive and the Chair, including diary and email management. 
  • Manage travel arrangements for the Chief Executive and Chair. 
  • Assist in managing the expectations of internal and external stakeholders who require the Chief Executive’s time.
  • Develop and maintain strong processes to deliver outcomes accurately and on time.
  • Collate information to measure and track effectiveness of the CCEO strategy.Use initiative and judgment to anticipate needs and ensure matters are dealt with expeditiously and appropriately. 
  • Support the Head of the Chair and Chief Executive’s Office with the preparation, formatting and editing of correspondence, papers, presentations and reports (Excel, Word, PowerPoint) for the Chief Executive and the Chair.
  • Manage and monitor briefing requests for the Chief Executive and Chair across the organisation. 
  • Provide support for the organisation of meetings & teleconferences including the distribution of agendas & minutes as required.
  • Support the financial management of the office through invoice processing, raising purchase orders and assisting with credit card management for Chief Executive including monthly reconciliation.
  • Ensure a positive, professional approach towards all stakeholders, internal or external, to build rapport, build confidence and enhance the Fund’s overall reputation.
  • Contribute to the strength of the team by sharing information, working collaboratively, transferring skills and being supportive and flexible; including taking a leadership role with other Executive Assistants and Team Coordinators across the Fund.

What You’ll Need   

  • Demonstrated experience providing executive assistance to C-suite in a growing and changing environment.
  • Experience working in a financial services, professional services or similar environment.
  • Demonstrated ability to work under pressure, set and manage multiple conflicting priorities and meet specified timeframes.
  • Demonstrated ability to coordinate tasks and to collaborate..
  • Strong stakeholder relationship skills including the proven ability to initiate, maintain and develop relationships with peers, with the objective of gaining cooperation and meeting timelines for the delivery of advice. 
  • Excellent written and oral communication skills; including proven experience in dealing with confidential and sensitive issues and ability to develop and maintain rapport across all organisational levels.
  • Demonstrated ability to maintain a high level of confidentiality and trust across a range of matters. Strong competency in the execution and understanding of Microsoft Office applications in particular Word, Excel, Outlook, and PowerPoint, and experience with Diligent, Microsoft Teams and Microsoft Dynamics.
