Position Summary

HR Coordinator II for HR Operations is a generalist role responsible for delivering end-to-end transactional and operational HR support across the employee lifecycle. This position is responsible for executing a variety of HR Operation processes including Preboarding, Offboarding, HR-related letters, and processing of purchase requisitions (PR) and purchase orders (PO) and other HR Operations activities that will be transitioned in the future. The role works closely with internal HR teams, hiring managers, and external vendors to ensure smooth day-to-day operations and a seamless employee experience across the employee lifecycle.

Responsibilities

Employee Lifecycle Support

  • Provide transactional support for current and future HR Operations activities in accordance with global and local HR policies and SOPs.
  • Execute the HR Ops transactions accurately and within defined SLAs.
  • Preboarding 
  • Coordinate and ensure timely collection and verification of new hire documents.
  • Initiate pre-onboarding communications and guide new hires through pre-employment requirements.
  • Liaise with internal teams (Recruitment, IT, Facilities) to ensure readiness for Day 1.
  • Maintain and ensure timely and accurate updates in the pre-onboarding tracker.
  • HR Letter Processing
  • Prepare employment-related letters including contract, promotion, salary change, and others upon request.
  • Ensure accurate, compliance with internal policies and timely completion of all HR letter requests.
  • Maintain proper documentation of letter templates 
  • Offboarding
  • Facilitate the offboarding process by issuing termination documents and coordinating exit formalities.
  • Track equipment returns, clearance forms, and final payroll coordination.
  • Update employee records and systems upon separation.
  • PR/PO Processing
  • Assist in preparing and submitting Purchase Requisitions (PR) and Purchase Orders (PO) for HR-related services.
  • Track and monitor vendor invoices, payment requests, and coordinate with the Finance or Procurement team.
  • Support vendor management tasks, including document collection and basic compliance checks.

Case Management & Employee Support

  • Handle HR service requests via ticketing or case management tools, ensuring prompt resolution and quality responses.
  • Escalate complex or non-standard cases to senior team members as appropriate.
  • Provide clear guidance to employees and stakeholders on HR processes and requirements.

Process Compliance & Continuous Improvement

  • Adhere to HR policies, controls, and governance standards.
  • Identify process gaps, recurring issues, or data quality risks and recommend improvements.
  • Support documentation updates, knowledge articles, and SOP maintenance.

Reporting & Metrics Support

  • Assist in generating operational reports and metrics (e.g., volume, SLA adherence, error rates).
  • Support audits, internal reviews, and compliance checks as needed.

Process Compliance & Continuous Improvement

  • Adhere to HR policies, controls, and governance standards.
  • Identify process gaps, recurring issues, or data quality risks and recommend improvements.
  • Support documentation updates, knowledge articles, and SOP maintenance.

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or related field.
  • 1-2 years of relevant HR work experience 
  • Proficient in MS Office (Excel, Word, Outlook); experience with HRIS is a plus but not required.
  • Strong organizational and multitasking skills.
  • High attention to detail and accuracy in documentation.
  • Highly organized and able to function and adapt in a high demand and changing environment.
  • Able to maintain a high activity/productivity level.
  • Effective communication and interpersonal skills.
  • Can use own initiative and judgement to tackle issues.
  • Ability to handle confidential information with discretion.
