Job Summary: We are seeking a proactive and detail-oriented Facilities Coordinator – APAC to provide hands-on and remote support for office facilities management, relocations, and operations across Hong Kong, China, Japan, Singapore, Australia, and Auckland. This role ensures compliance with local health & safety regulations (e.g., Australia's WHS Act, Singapore's Workplace Safety and Health Act, Hong Kong's Occupational Safety and Health Ordinance) and company policies, while coordinating with vendors and teams across time zones. The ideal candidate has multi-site experience in APAC, cultural adaptability, and the ability to align with global standards. Reporting to the APAC Facilities Manager, occasional travel is required.
Key Responsibilities: Facilities Operations & Maintenance
- Oversee day-to-day operations, ensuring efficiency and compliance with regional standards (e.g., earthquake-proofing in Japan, typhoon readiness in Hong Kong).
- Coordinate maintenance, repairs, and servicing of infrastructure, including electrical, HVAC, and fire systems where applicable.
- Work with vendors for timely tasks, emphasizing sustainability (e.g., Australia's NABERS ratings).
Remote Facilities Support & Coordination
- Provide remote assistance, addressing issues and serving as point of contact for services, security, and requests.
- Maintain records, adhering to local data privacy laws (e.g., Singapore's PDPA).
- Use workflow tools (e.g., ServiceNow) for tracking and updates to global teams.
Health, Safety & Compliance
- Ensure sites comply with local regs (e.g., China's Fire Safety Law, Japan's Industrial Safety and Health Act) and company policies.
- Conduct inspections, risk assessments, and emergency preparedness (e.g., evacuation plans, first aid).
- Support EHS initiatives, incident reporting, and business continuity.
Space & Office Management
- Manage layouts, desk allocations, meeting rooms, and relocations with minimal disruption.
- Coordinate moves, expansions, and consolidations, aligning with employee needs and sustainability goals.
- Facilitate hybrid work models across diverse APAC cultures.
Vendor & Stakeholder Management
- Liaise with suppliers for contracts, performance reviews, and SLAs, ensuring cost-efficiency.
- Collaborate with internal teams (IT, HR, Finance) and global regions for business alignment.
- Monitor vendor risks and invoices, adapting to regional hierarchies and customs.
Qualifications & Skills
- Experience: Proven in facilities operations, relocations, or related fields, preferably multi-site in APAC; 5+ years ideal.
- Technical Knowledge: Building maintenance, regional health & safety standards (e.g., WHS, OSH Ordinance), office ops, and sustainability.
- Problem-Solving: Troubleshoot issues with practical, culturally sensitive solutions.
- Communication: Strong verbal/written skills for remote/cross-cultural teams.
- Technology Proficiency: Facilities software (e.g., ServiceNow, Archibus), collaboration tools (e.g., Teams, WeChat Work), MS Office.
- Project Coordination: Manage relocations, upgrades, and small projects.
- Languages: Fluency in English, Cantonese, and Mandarin essential; Japanese or other APAC languages highly desirable.
- Preferred: Bachelor's in Facilities Management/Business; multinational exp; understanding of leasing/compliance norms.
