Duties for this position include providing customer service at City Hall’s front counter, answering phones, processing utility payments and other City departments’ deposits. There may also be other clerical tasks such as opening and distributing the daily mail and placing office supply orders. The ideal candidate will be professional, friendly, and experienced in customer service, cash handling, and software systems, with strong skills in Excel, organization, and time management.

DEFINITION
This series specification has the responsibility for performing a wide variety of typing and general clerical work; and to do related work as required
DISTINGUISHING CHARACTERISTICS
This position works under general supervision, and within a framework of established procedures, is expected to perform a wide variety of typing and general clerical duties with only occasional instruction or assistance. Adequate performance at this level requires a knowledge of departmental procedures and precedents, and the ability to choose among alternatives in solving problems. An Office Assistant is expected to work productively even in the absence of a supervisor. Employees in this class may often have contact with the public, answering a variety of procedural questions or giving out information from established records. Work is normally reviewed only on completion and for overall results.
- ESSENTIAL DUTIES & RESPONSIBILITIES
- 1. Does a wide variety of clerical work including typing, proof reading, filing, checking, and recording information on records.
- 2. Prepares and types purchase orders, reports, documents, lists, requisitions, permits, invoices, correspondence, cost estimates, and certificates.
- 3. Answers the telephone and waits on the general public, giving information as required.
- 4. Types letters, memoranda, or other material, from oral direction, rough draft, copy, notes or transcribing machine records.
- 5. Operates the word processor from copy through rough draft and completion.
- 6. Operates adding and duplicating machines.
- 7. Compiles and types statistical information.
- 8. Sorts and files documents, and records according to predetermined classifications, maintaining alphabetical, index, and cross reference files.
- 9. Checks invoices and requisitions, and performs arithmetical calculations.
- 10. Mails out letters, forms and applications.
- 11. Receives, sorts and distributes incoming and outgoing mail.
- 12. Assists in making out forms, preparing packets and agenda.
- 13. Prepares simple statistical reports.
- 14. May take and prepare minutes of meetings.
- 15. May collect cash and ring up receipts; balance cash drawer daily; prepare deposits bi-monthly; simple bookkeeping.
- 16. May issue permits and licenses.
- 17. May processes participants’ registration in programs, facility rental, excursions, and special events via computerized system.
- 18. May assist in monitoring, receiving and dispatching routine and emergency radio communications.
- 19. Performs related duties as required.
QUALIFICATIONS
Knowledge of:
Correct English usage, grammar, and punctuation; arithmetic; filing procedures; receptionist and telephone techniques; standard office machines; and procedures and policies of the office to which assigned.
Ability to:
Perform clerical work of average difficulty, including data for reports; make arithmetical calculations; operate office machines; read and write at the level required for successful job performance; understand and carry out oral and written directions; type at a speed of not less than 45 words per minute from clear copy; work cooperatively with others.
Education and Experience:
Equivalent to graduation from high school; one year experience in similar position desired.
