Job Description

Job Function:

The Customs and Logistics Coordinator plays a pivotal role in managing and optimizing the import/export activities, ensuring compliance with customs regulations, and facilitating seamless logistics operations. This position requires meticulous attention to detail, excellent organizational skills, and the ability to liaise effectively with customs brokers, finance teams, and external certification bodies.

Responsibilities And Objectives:

Customs And Compliance:

  • Manage the follow-up for shipments in customs, including sending invoices for upcoming shipments, and requesting invoices for shipments already in customs.
  • Report discrepancies in arriving shipments, such as extra or missing materials.
  •  Request technical information as needed and create labels for customs broker use.
  •  Create letters and coordinate with legal representatives for signatures on legal documents.

Nom Certifications:

  • Manage the NOM certifications process, including NOM-050, NOM-024, NOM-019, and NOM-196.
  •  For NOM-050 and NOM-024, request special licenses, create labels, take pictures, and   submit documentation for compliance approval.
  • For NOM-019 and NOM-196, coordinate with ANCE, upload technical and photographic documentation on their website, and await certification.

Regulatory Updates:

  • Regularly check with customs brokers for changes in regulations affecting specific materials, ensuring compliance with new NOM requirements.
  • Shipment Reporting:
  • Update shipment reports to reflect customs clearance status and highlight any issues for internal resolution.
  •  Ensure monthly online update of all importation documents to meet legal requirements and audit preparedness.

Customs Broker Coordination:

  • Assign customs brokers based on geographic zones and destination of materials.
  • Work with the finance team to manage funding requests for customs clearance, coordinating with the PECE account as needed.
  • Ensure monthly online update of all importation documents to meet legal requirements and audit preparedness.
  • For NOM-050 and NOM-024, request special licenses, create labels, take pictures, and   submit documentation for compliance approval.

Invoice Management:

  • Codify and validate freight carrier invoices in an Excel file, ensuring correct cost center allocation and validation of invoices from DHL, local carriers, freight forwarders, customs brokers, and other suppliers.

Freight And Tariff Code Management:

  • Coordinate international freight quotations and classify tariff codes for new projects, ensuring preparations for customs requirements and avoiding delays.
  • Conduct meetings with the sales team for new project implementations.

Special Projects:

  • Manage the Greases Project annual report and handle renovation processes.
  • Oversee virtual exportations under the IMMEX program, coordinating pedimento creation and monthly reporting to close transactions in alignment with customers.

Warranty And Sap Processes:

  • Manage warranty exportation processes, ensuring special sections of invoices for exportation are completed.
  • Work with SAP to adjust configurable materials to variants, move materials between sales orders and stock, and resolve customer cancellations.
  • Generate ASK tickets for SAP issues and provide support activities related to outbound sales orders, consignments, and warehouse physical activities.

Adheres to all safety, quality and environmental standards

Qualifications

  • 2+ years experience with customs processes and international trade regulations required
  • Bilingual (English & Spanish) is required
  • Proficiency in SAP and Excel for managing shipments, inventory, and invoice coding
  • Experience with NOM certification processes
  • Strong analytical and problem-solving skills
  • Excellent communication skills for liaising with customs brokers, finance teams, and certification bodies
  • Ability to manage multiple projects simultaneously and operate in a fast-paced environment

Additional Information

Physical Requirements:

  • Periods sitting at a desk and working on a computer
  • Office environment with periodic interactions at warehouses or other logistics locations.
  • Must be able to lift, push, pull, and carry objects
  • Must be able to lift up to 40 pounds at times
  • Dexterity and accuracy as needed to operate equipment

Work Schedule:

  • Willingness to travel is required both domestically and international. Occasional travel may be required for coordination with customs brokers or certification bodies.
  • This position will report to the Queretaro office Monday – Friday.

Salary Range:

45,000-50,000 Mxn Month
