👉 We are now looking for an Office Assistant to join our dynamic team in Malta.
In this role, you’ll play a key part in ensuring the smooth and efficient operation of our office, providing essential administrative support to the management team, and helping maintain the organized, people-focused environment that powers Colibrix One’s success.
Job Description
The Office Assistant provides comprehensive administrative and organizational support to the management team and ensures the efficient day-to-day operation of the office. This role includes document management, coordination of office supplies and employee services, and support in financial, audit, and HR-related administrative tasks.
Key Responsibilities
- Provide general administrative support to the management team and other departments as required.
- Manage document flow and filing, including scanning, registration, and organization of physical and digital documents.
- Handle office management tasks such as ordering supplies, coordinating key access requests, and assisting with employee benefit inquiries.
- Coordinate employee insurance registrations and maintain accurate records with external providers.
- Assist in document collection and preparation for audits.
- Process and send invoices for approval and payment.
- Manage document signing, scanning, and archiving.
- Ensure smooth office operations and effective communication between departments.
Requirements
- Previous experience in an administrative or office support position is an advantage.
- Excellent organizational skills and strong attention to detail.
- Ability to multitask and prioritize in a fast-paced environment.
- Strong communication and interpersonal skills.
- Proficiency in MS Office (Word, Excel, Outlook); familiarity with document management tools is an asset.
- Fluency in English;
