Job Description

Administration Secretary : Handle efficiently administration jobs/client coordination/report & invoice generation etc, Detailed responsibility as below: 

  • Report generation in company approved format / template & dispatch further to client.
  • Invoice generation in company approved software BOSS system & dispatch further to client.
  • Client coordination related to reporting & invoicing matters.
  • Coordination with concern Supervisors for all reporting & invoicing matters.
  • Verify & ensure all report & invoices generated as per company procedure / instructions.
  • Follow client’s instructions in consultation with line managers for reporting / invoicing & ensure fast delivery of documents to them.
  • Maintain, Update & Close each job file with all relevant records / docs.
  • Carry out other assignments as instructed by the line manager’s basis time to time.

Qualifications

Qualifications:

  • Saudi nationality required
  • Diploma or bachelor's degree in business administration, Office Management, or related field
  • Fresh gradate. 
  • Excellent verbal and written communication skills in both Arabic and English
  • Advanced proficiency in Microsoft Office, including Word, Excel, and PowerPoint
  • Strong organizational and time management skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Detail-oriented with a high level of accuracy
  • Experience with report generation and invoice processing
  • Familiarity with office management procedures 
  • Excellent interpersonal skills and ability to work effectively with clients and team members
  • Adaptability and willingness to learn new software systems (e.g., BOSS system for invoicing)
  • Knowledge of filing systems and record keeping
  • Discretion in handling confidential information
