SUMMARY: Heritage Auctions is seeking a highly organized and detail-oriented Print Marketing Coordinator to support our growing Catalog Print Production team. This role ensures the efficient production and distribution of over 220 catalogs annually by managing administrative tasks, coordinating vendor communications, assisting with proofing and quality control. The Coordinator will be a key contributor to maintaining our brand standards, production timelines, and cost-effective operations.
LOCATION: South of Dallas/Fort Worth International Airport, NW corner of W. Airport Freeway (Hwy. 183) and Valley View Lane

COMPENSATION: Commensurate based on experience.
KEY RESPONSIBILITIES: Duties include, but are not limited to, the following:
- Create, update, and distribute monthly catalog production schedules with project timelines.
- Create catalog production tickets in jobs management program.
- Coordinate production communication between Print Marketing and other internal teams (50 categories).
- Download images requested for specific catalog jobs.
- Process invoices and enter costs for print and stock expenses.
- Act as liaison with vendors (printers, suppliers, mailhouses) to monitor progress, and ensure timely delivery.
- Assist in reviewing proofs for accuracy, consistency, and brand compliance.
- Support mailing coordination by collaborating on mailing criteria and postal compliance.
- Identify and implement workflow improvements and tools to optimize the production process; assist with documenting processes.
- Support the Print/Design Director and Assistant in day-to-day project management and operational tasks.
- Maintain Marketing catalog and print collateral sample library.
Requirements
Qualifications:
- Bachelor’s degree in Marketing, Communications, Graphic Design, or related field preferred.
- 2+ years of experience in print production, marketing coordination, or project management.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Familiarity with project management software is a plus.
- Ability to work independently with minimal supervision and take ownership of responsibilities.
- Positive attitude, team-oriented mindset, and a willingness to receive and act on feedback.
- Ability to manage multiple projects simultaneously under tight deadlines.
- Proficiency in Microsoft Office Suite, including:
- Word: document formatting, templates, and mail merge
- Excel: spreadsheets and data reporting
- Outlook: calendar management, task coordination, and handling high-volume correspondence
