We are looking for a dynamic, organized, self-starter to join our Earthmoving Division as an Administrative Assistant in Peoria, IL. As an Administrative Assistant you will provide high-level administrative support to two Vice Presidents and their teams.

In this role, you can expect to: 

  • Provide administrative support that includes all aspects of travel logistics including scheduling and organizing conference calls, on-site/off-site meeting and event planning while providing professional customer service.
  • Manage expense reporting through Concur platform.
  • Maintain calendars for the vice presidents to optimize efficiency and engagement with internal / external stakeholders.
  • Ensure the VP’s direct reports and staff are informed of communications and meetings with key stakeholders.
  • Monitor progress of initiatives worked by VPs for information sharing and confidentiality and improve processes as needed.
  • Serve as the liaison between the vice president and senior leaders across the company.
  • Maintain relevant content within the department (Excel files, PowerPoint presentations, etc.).
  • Coordinate office and communications needs for the Peoria office.
  • Serve in a variety of other coordination activities.

  • Accuracy and Attention to Detail: Ability to complete tasks with high levels of precision, particularly within Concur Travel and Expense and within written communications.
  • Collaborating: Ability to work with a variety of individuals and groups in a constructive and collaborative manner. Ability to work within team environment but also operate well independently.
  • Effective Communications: Strong organizational, communication, and interpersonal skills; High level of integrity and ability to maintain confidentiality.
  • Flexibility and Adaptability: Experience scheduling global travel and global meetings.
  • Managing Multiple Priorities: Ability to manage multiple concurrent objectives, projects, groups, or activities, making effective judgments as to prioritizing and time allocation.
  • Office Administration: Ability to carry out ongoing office administration tasks effectively and efficiently in support of local and global teams. Strong time management skills.
  • Microsoft Office: Skilled in Microsoft Office – Outlook, Word, PowerPoint, Excel, Teams, SharePoint.

Top Candidates Will Also Have

  • Bachelor'S Degree

  • Ability to quickly adapt to new technology and be the trusted resource for your leader with any tech support
  • Concur Expense Reporting experience
  • Excellent oral and written communication and collaboration skills

Additional Details

  • This role works normal business operating hours; however it will require some flexibility to accommodate occasional meetings for our global teams.
  • Willing to be reached outside office hours in case of emergency, especially when VPs are traveling is required.
  • Onsite work in the Peoria, IL office is required.

Summary Pay Range:

$28.15 - $42.25

Compensation and benefits offered may vary depending on multiple individualized factors, job level, market location, job-related knowledge, skills, individual performance and experience. Please note that salary is only one component of total compensation at Caterpillar.
