Job Description

This associates supports our Global Contracts Team (Cross-functional POC and NA).  This is a fast paced, high volume, high performing team that works cross functionally across the organization (including working directly with Sales, Finance, Pricing, Legal) and leads the finalization licensing agreements for our clients.  Partnering with Legal, Pricing, and Finance teams on a daily basis to drive contract review, validation, compliance, signature, archival, and distribution/communication with all stakeholders, both external and internal. The position is high visibility as it is critical to revenue recognition.

Responsibilities And Duties:

  • Contract Processing Support NIQ with contractual compliance matters that include but are not limited to the following points:
  • Review and compare documentation received from all markets, ensuring approval flow and resolve as needed.
  • Validate the contract incorporates all authorized specifications, terms, and approvals,
  • Obtain contract signature(s) and countersignature as required through various tools.
  • Record entries to appropriate databases
  • Distribute and file agreements for signature/countersignature along with support documentation, where applicable.
  • Maintain NIQ DocuSign licensing access.
  • Document comparisons as requested.
  • Provide copies of contracts upon request to Sales and Legal.
  • Identify and recommend potential process improvement 
  • Effectively manage and prioritize assigned workload.
  • Exercise judgment in handling exceptions to standard procedures.
  • Elevate issues on an as needed basis to manager for resolution.
  • Where needed, oversee the contract termination process by verifying the validity of requests, providing necessary forms to Sales for execution, and distributing required documentation to appropriate departments (US).
  • Work collaboratively with other Contract Management team members and cross-functionally and collaborate with other functions such as Sales, Legal, Audit, IT, Billing, Finance, Security, etc. to ensure contract terms meet their requirements
  • Sharepoint site and Self Service Templates
  • Maintaining Sharepoint sites
  • Helping Commercial teams in understanding and using contract templates;
  • Coordinating contract templates in partnership with manager
  • Special projects, as needed
  • Locate and provide all legal documents required for purposes of auditor requests.
  • Draft “Service Purge Letters” as requested (US)
  • Requesting different documents (certificate of residency, commercial extracts, withholding tax certification, etc.) from the Canton of Geneva

Qualifications

  • 0-1 years experience prior business or Legal clerical experience in a corporate setting
  • 0-1 years related experience in procurement or sales support is a plus
  • Intermediate Microsoft Office skills (DocuSign, Adobe, Word, Excel, Sharepoint, Form) required
  • Demonstrate basic math skills
  • Superior organizational skills; detail oriented, and communication skills (both written and verbal)
  • Ability to demonstrate professionalism in a high-pressure environment, proven ability to multi-task and adhere to tight deadlines, with superior organizational skills and detail oriented
  • Ability to succeed in a dynamic environment with new challenges and changing work priorities
  • Accountable, results driven and open to new ideas and on-going learning
  • Exhibit a strong interpersonal/teamwork disposition with group members and overall customer base
  • Proven ability to work independently and handle tasks from start to finish, solving problems with a minimum of intervention from others
  • Strong problem solving and communication (both oral and written) skills Comfortable working within a team and cross functionally with people at all levels of the company
  • Capable of independent decision making; flexible and collaborative approach to problem solving
  • CRM/Microsoft Dynamics (MSD) and Contract lifecycle management system (CLM) and/or Conga experience is a plus
  • Bachelor’s Degree (or commensurate experience) in related field, preferred but not required.
  • 0-1 years related experience in procurement or sales support is a plus
