SierTeK Ltd. is seeking an Executive Assistant to support an opportunity at Kirtland AFB, NM.

About the role SierTeK Ltd. is hiring an Executive Assistant to support the Air Force Research Laboratory (AFRL), Phillips Research Site (PRS) RD & RV Directorates. You’ll be part of the face paced operational heartbeat of the Directorate/Division front office—driving executive calendar and meeting flow, coordinating travel, owning tasker/suspense tracking, and ensuring seamless communication across a high-visibility, headquarters-aligned organizations.

What You’Ll Do

  • Executive operations
  • Orchestrate complex calendars, stakeholder meetings, and TDY/travel logistics; prepare briefing materials and meeting notes for the Directors and various staff members.
  • Review, analyze, and implement higher-headquarters guidance to enable timely decisions and mission alignment.
  • Information and workflow management
  • Build, maintain, and optimize files, trackers, and dashboards (spreadsheets, SharePoint lists, briefing decks) to monitor taskers, deadlines, and deliverables.
  • Proactively collect and update data from multiple sources; ensure leaders always have the latest, decision-ready information.
  • Communication and official correspondence
  • Draft, route, and finalize official correspondence, memos, and read-aheads consistent with government style guides and headquarters administrative procedures.
  • Serve as the front office hub: triage calls and meeting requests, greet visitors, coordinate visits, and maintain executive-level correspondence.
  • Support meetings and events end-to-end, including logistics, materials, notes/minutes, and follow-up actions.
  • Tools and technology
  • Produce polished correspondence and reports; operate standard office equipment.
  • Leverage Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams) and video collaboration platforms (Teams/Zoom).
  • Manage and update SharePoint sites and document libraries for streamlined access and collaboration.
  • Special projects
  • Independently research, develop, and deliver briefing charts and presentations for coordination and usage by leadership.
  • Step in on emerging priorities and process improvements across the front office.

Qualifications

What You’Ll Bring

  • 8+ years of administrative experience, ideally supporting senior leaders in the DoD or a similar fast-paced, executive environment.
  • Demonstrated experience with official government correspondence (drafting, formatting, routing, and records management) and familiarity with government headquarters administrative processes and procedures.
  • Advanced proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint) and collaboration tools (Teams/Zoom).
  • Hands-on experience with SharePoint (document management, site updates, lists).
  • Exceptional organization, attention to detail, and written/verbal communication; proven ability to operate with minimal supervision.
  • Eligibility to obtain a DoD Secret clearance or equivalent clearance (DOE etc) (active clearance preferred).
