We are looking for an Administrative Assistant to join the Administration Department in the Florham Park, New Jersey office. The role of a Citrin Cooperman Administrative Assistant is to assist in all aspects of the office conditions, ensure office workflow, foster Citrin Cooperman culture, and provide operational support for the Office Manager (OM).
As an Administrative Assistant, your responsibilities include:
- Provide administrative support such as electronic filing, copying, faxing, answering phone calls, typing, word processing, and proofreading to staff and partners.
- Maintain clean and welcoming general office conditions for team members and guests.
- Provide front office coverage as needed.
- Manage client data updates by assisting with maintaining Dynamics and STAR Practice.
- Assist with new client onboarding procedures.
- Manage the preparation, delivery, and filing of engagement letters.
- Handle incoming mail by opening, scanning, and distributing it; prepare outgoing mail while being familiar with various delivery methods such as US Mail, International Mail, Certified Mail, UPS, FedEx, etc.
- Package returns and confirm addresses for delivery, tracking and certified mailings.
- Electronic delivery when applicable (secure send via ShareFile).
- Preparing expense accounts and other reports.
- Calendar management: assist with appointment setting, communicate Partner/Director whereabouts, set-up for meetings, organize presentations & corresponding materials.
- Monitor and manage pooled administration mailboxes.
- Communicate common office inventory usage and replenishment needs to the Office Manager.
- Assist the Office Manager with coordinating office events, ordering meals, communicating details, setting up and breaking down conference rooms, managing hoteling spaces, and arranging client or in-house meetings for partners and staff.
- Assist with ad-hoc projects as required.
Qualifications
- Associates or Bachelor's degree preferred.
- 2 plus years of administrative experience, preferably in a professional services environment.
- Tech – savvy with a proficiency in Microsoft 365 suite of applications. Specific knowledge of Excel functions such as tables, formulas, and formatting.
- Excellent phone manners with a customer service attitude.
- Must be a team-player with a strong attention to detail and the ability to multi-task.
- Strong organizational skills, including excellent written and verbal communication skills.
- Must be able to work independently.
- Strong attention to detail with precise follow-through.
- Capacity to work overtime, as needed.
- This role is in-person, 5 days a week at our Florham Park, NJ location.
