Description
- Job Title: Program Coordinator
Location: Mumbai, India
- Reports to: JDC Program Director
Overall Purpose:
To provide comprehensive administrative support to JDC operations in Mumbai, ensuring smooth coordination of programs, effective communication with partners, and technical assistance. This role plays a key part in supporting program delivery and organizational efficiency.
Key Responsibilities:
- Provide administrative support to the JDC Program Director in Mumbai.
- Serve as the administrator for the IJT FCRA account.
- Coordinate travel arrangements, including itineraries and hotel bookings for the Country Director and official visitors.
- Compile minutes of IJT trustee meetings and monthly reports for Welfare, JCC, and JYP programs.
- Maintain regular communication with IJT trustees.
- Prepare annual budgets for JCC programs.
- Coordinate with the Golden Age Group committee and attend their meetings.
- Act as the contact person for JCC members, ensuring membership care and communication.
- Manage and update the Kol India mailing list and oversee postage logistics.
- Identify and troubleshoot issues with office computer systems.
- Apply updates, patches, and configuration changes to IT systems.
- Maintain all office hardware including computers, printers, scanners, and fax machines.
- Liaise with external IT service providers for technical support and procurement.
Key Tasks:
- Create and manage Zoom sessions, including generating links, hosting, and sharing recordings.
- Coordinate with speakers to schedule sessions and confirm time slots.
- Prepare monthly program schedules and Kesher Calendar for distribution via WhatsApp groups.
- Compile and submit monthly reports and schedules in a timely manner.
- Other tasks as required by the Country Director and/or the management team.
Requirements:
- Minimum 3 years of experience in administrative roles, preferably in nonprofit environments.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with Zoom and other virtual meeting platforms.
- Strong written and verbal communication in English.
- Ability to interact professionally with internal and external partners.
- High attention to detail and ability to manage multiple tasks simultaneously.
- Strong time management and problem-solving abilities.
- Comfortable working independently and taking initiative, team player.
