About The Opportunity:

The College invites applications for an Administrative Coordinator. Responsibilities:

Reporting to the College’s Assistant Director of Administration & Operations, the Administrative Coordinator provides financial, operations and event support to the College and its community of students, staff, and faculty. The Coordinator plans and executes division-wide annual events and other regular and ad-hoc events within the College. The incumbent supports College programs and daily operations by processing financial transactions (reimbursements, invoicing, payments, purchasing); supporting events (food ordering, room reservations, equipment, and AV rentals); and booking travel (hotel and flight reservations). The Administrative Coordinator will serve as liaison with internal Brown constituents (Event and Conference Services, Facilities Management, Office of Financial Strategy & Planning, Office of Information Technology) and external constituents (contractors, guests, and vendors) to ensure effective, efficient, equitable, and inclusive execution of College programs and initiatives. The Coordinator supports building maintenance, inventory, and supply ordering, office management, and collaboration with colleagues across the division in support of a wide range of initiatives and programs. The ideal incumbent is customer service-focused, detail-oriented, efficient, organized, proactive, resourceful, self-motivated, and committed to supporting a diverse and inclusive campus community.

Qualifications

Education And Experience

  • Required: Associate degree and 3 years of related experience, or the equivalent combination of education and experience.
  • Experience planning events and/or managing complex projects.
  • Preferred: Administrative experience in an academic or higher education setting preferred. Experience processing financial transactions (reimbursements, purchase orders, etc.) preferred.

  • Ability to efficiently manage multiple tasks with competing priorities.
  • Ability to work independently as well as part of a collaborative team.
  • Ability to take initiative, anticipate the needs of the organization, and prioritize in a fast-paced environment. Strong customer service orientation. Excellent interpersonal/communication skills. Ability to interact professionally with multiple audiences and people from diverse backgrounds.
  • Excellent computer skills in word processing, spreadsheet/database and email applications (Google environment--mail, calendar, drive, sites, Microsoft Suite); experience with project management systems and other IT systems (Workday) preferred.
  • Demonstrated commitment to furthering diversity, equity, and inclusion initiatives, and interest or track record in supporting students from historically underrepresented and/or minoritized backgrounds.
  • Process and systems-oriented. Ability to problem-solve.
  • Ability to handle confidential or sensitive materials with discretion.
  • Ability to work occasional nights and weekends for specific pre-planned events. Flexibility to handle emergency needs and in-person meetings with critical vendors and campus partners.
