Key Responsibilities:

  • Manage office establishment including lease negotiations, office supplies, equipment maintenance, IT infrastructure setup, and vendor procurement
  • Manage day-to-day administration including expenses, travel coordination, supplies, and executive support
  • Support HR tasks including onboarding/offboarding logistics and employee records
  • Ensure strict compliance with Japanese labor laws, visa requirements, and social insurance regulations
  • Act as liaison with government agencies, legal advisors, and external vendors (payroll, insurance, etc.)
  • Align Japan operations with regional policies (HK/Singapore) for HR systems, reporting, and compliance standards
  • Serve as bridge between Tokyo office and APAC stakeholders across time zones

Qualification:

  • 5+ years in office administration experience in Japan, preferably in financial services or multinational environments
  • Native Japanese, fluent business English (Mandarin proficiency is a plus)
  • Basic knowledge of Japanese labour/office compliance
  • Strong organizational skills and ability to prioritize tasks efficiently
  • Strong cross-cultural communication skills (written and verbal)
  • Entrepreneurial mindset – adaptable, proactive, and solutions-driven
