Key Responsibilities:
- Manage office establishment including lease negotiations, office supplies, equipment maintenance, IT infrastructure setup, and vendor procurement
- Manage day-to-day administration including expenses, travel coordination, supplies, and executive support
- Support HR tasks including onboarding/offboarding logistics and employee records
- Ensure strict compliance with Japanese labor laws, visa requirements, and social insurance regulations
- Act as liaison with government agencies, legal advisors, and external vendors (payroll, insurance, etc.)
- Align Japan operations with regional policies (HK/Singapore) for HR systems, reporting, and compliance standards
- Serve as bridge between Tokyo office and APAC stakeholders across time zones
Qualification:
- 5+ years in office administration experience in Japan, preferably in financial services or multinational environments
- Native Japanese, fluent business English (Mandarin proficiency is a plus)
- Basic knowledge of Japanese labour/office compliance
- Strong organizational skills and ability to prioritize tasks efficiently
- Strong cross-cultural communication skills (written and verbal)
