Overview:

The Operations Coordinator plays a pivotal role in ensuring the efficient execution of daily staffing operations at assigned customer locations. This position requires exceptional organizational skills, effective communication, and a strong understanding of scheduling, payroll, and customer relations. The Operations Coordinator will collaborate closely with customers, employees, and various internal departments to ensure smooth operations and adherence to contractual obligations.

Location: Remote (Pacific Time zone preferred)

Duties/Responsibilities:

Per Diem Staff Coordination:

  • Coordinate and schedule Per Diem staff assignments at designated customer locations. 
  • Liaise with customer contacts and employees to confirm shift assignments, aiming for an 85% fill rate for daily shift staffing
  • Reviews monthly cancellations, call offs, and late arrivals for disciplinary actions.

Customer Onboarding And Relations:

  • Lead new customer onboarding meetings in collaboration with the Operations Manager. 
  • Ensure alignment of customer implementation standards with contractual obligations 
  • Communicate setup requirements to Payroll, HR, and Invoicing/AR Management. 
  • Ensure internal systems are up to date with new or client information 
  • Assist with new client configurations in internal systems

Employee Training And Engagement:

  • Create and maintain training modules as needed
  • Assign relevant training modules to new temporary workforce employees, ensuring completion before initial work assignment.
  • Conduct new hire orientations for the temporary workforce, facilitating smooth integration into the operational environment.
  • Provide training to clients on Scheduling and Time and Attendance systems such as When-I-Work and Elevate.
  • Manages on site and virtual training to ensure employee compliance (CPI, Annual Competency, Skills Fairs, Training update attestations)

Administrative Duties:

  • Collaborate with the Operations Manager to organize and present new customer information to Payroll, HR, and invoicing departments. Manage all time off requests and schedule changes for all Clients
  • Prepare Monthly Reporting for assigned customer locations
  • System Access
  • Elevate Support – maintain supervisors and back up approvers
  • Demonstrate a continuous improvement mindset to enhance operational efficiency and effectiveness.
  • Maintain keen attention to detail in all aspects of operations, ensuring accuracy and compliance.

Other duties as assigned

Required Skills/Abilities:

  • Exceptional organizational skills with the ability to manage multiple tasks and priorities. 
  • Effective written and oral communication skills.
  • Proficiency in invoicing, timekeeping, and payroll processes. 
  • Strong proficiency in Microsoft Office suite.
  • Analytical mindset with an aptitude for project management.
  • Motivated, driven, and engaged approach to tasks and responsibilities.
  • Creative problem-solving abilities.
  • Demonstrated attention to detail in all aspects of work.  

Preferred Skills/Abilities

  • Experience with Canva, Eloomi, Elevate, StaffTrack, Tempworks, a plus.
  • Ability to review contracts 
  • Experience with healthcare credentials/compliance

Education And Experience:

  • Minimum of 1 years of relevant professional experience in a similar role. 
  • Bachelor's degree in a related field preferred, but not required

Physical And Other Requirements:

  • Prolonged periods of sitting at a desk and working on a computer. 
  • Must be able to lift 15 pounds at times.
  • Must be available to service per diem on call line after hours as needed; at least one week a month

Work Environment & Requirements:

  • Remote (U.S. Based) 
  • Must have reliable phone service when working remotely 
  • Must have reliable internet service when working remotely
  • Salary Range: $54,100 - $64,500 annually, depending on experience and geographic location.
  • Please note that actual compensation offered may vary based on local pay requirements, and will meet or exceed state-specific minimum wage or salary thresholds.
