Our dynamic and community-centered organization is looking to add a talented, conscientious, and resourceful Event & Rental Director to the team. The primary role of this position is to lead our rental department, ensuring exceptional experiences for clients while maximizing the use of our beautiful facility. As the Event & Rental Director, you'll report to the Senior Director of Operations and work within our top-notch Operations Team, overseeing all aspects of supporting clients through their event planning, execution, and management while supervising the rental department staff.

This position requires an affinity to work both independently and collaboratively to handle varied requests and proactively anticipate changing needs. In addition to being organized and detail-oriented, this position depends on your exceptional customer service skills, business acumen, and the ability to communicate effectively while managing multiple priorities in a fast-paced environment.

Key Responsibilities:

  • Client Relations: Serve as a primary point of contact for rental clients, providing exceptional customer service throughout the entire rental process, from initial inquiry through post-event follow-up. Build and maintain strong relationships that foster client satisfaction and loyalty.
  • Business Development: Develop and implement strategies to increase rental revenue and facility utilization. Identify market opportunities, create promotional materials, and represent the Boulder JCC at networking events to attract new clients.
  • Event Planning: Oversee the comprehensive planning process for all events, including consultations, facility tours, and detailed coordination of client needs. Ensure all events are meticulously planned to meet client expectations and Boulder JCC standards. 
  • Event Execution: Ensure flawless execution of events by coordinating all operational aspects, including room setup, vendor arrivals, staff assignments, and guest experience. Maintain quality control and troubleshoot any issues that arise during events to ensure client satisfaction and radical hospitality.
  • Staff Leadership: Recruit, hire, onboard, and manage the Rental Specialist, Rental Business Manager, and other rental support staff. Schedule office and event coverage, conduct regular 1:1 meetings, and perform mid-year and annual reviews.
  • Vendor Management: Cultivate relationships and manage contracts with preferred caterers, AV company, contracted parking/event staff, and other key vendors. Develop lists of preferred vendors as appropriate and ensure up-to-date agreements and paperwork are on file.
  • Financial Oversight: Work with the Rentals Business Manager to develop and manage the annual rental department budget. Approve client discounts, ensure correct payment to vendors, and ensure prompt invoicing and payment from customers. Review monthly revenue and expense reports to identify trends and opportunities.
  • Calendar & Space Management: Provide oversight of all external facility bookings and anticipate potential conflicts across the organization-wide calendar. Proactively identify and implement mitigation strategies to address scheduling challenges during high-demand periods or large-scale events to address parking limitations and other building space needs or capacity constraints. 
  • Documentation & Training: Develop, update, and maintain an Event and Rental Manual outlining operational standards. Ensure all operations staff are trained on policies, protocols, and standards for room bookings, food and beverage delivery, event floor management, etc.

Requirements

Qualifications:

  • College degree or equivalent experience
  • Minimum 2 years Catering/Sales/Hospitality experience preferred
  • Proven track record and demonstrated success in the hospitality or related fields
  • Responsive, professional and enthusiastic attitude, welcoming personality, and a passion for celebrations, events, and hospitality
  • Flexibility to work non-standard hours including weekends, evenings, and holidays
  • Strong organizational and time management skills
  • Ability to be graceful under pressure and think on your feet to problem-solve effectively
  • Excellent interpersonal, verbal, and written communication skills
  • Demonstrated presentation skills
  • Tech-savvy, proficient in Google Suite Apps, and adaptable to new technologies
  • Experience with Salesforce is a plus

Compensation:

This is a full-time, exempt salaried position with a salary range of $65,957.30 - $76,647.30 commensurate with experience. Employee benefits currently include health insurance (medical, dental, and vision) with access to a health savings account (HSA) with generous employer contributions, a 403(b) retirement savings plan with immediate vesting and an employer match up to 4%, voluntary disability, life, and accident insurance, substantial staff discounts, as well as plentiful time off (vacation, sick, and holidays including a full week during Thanksgiving).
